We're an established real estate agency known for our focus on results, organisation, and exceptional service to clients. As we continue to grow, we're looking for a driven and detail-oriented Personal Assistant to work directly with our team to manage the potential seller pipeline.
This is not a traditional reception or admin role – it's about being the last line of defence of the listing process, making sure every lead is followed up, every appraisal is booked, and every opportunity is maximised.
The Role
As PA, you will be responsible for keeping the engine running smoothly behind the scenes, particularly on the seller side of the business.
Key responsibilities include:
* Managing the appraisal pipeline: follow-ups, reminders, booking appointments.
* Ensuring no leads are missed: tracking, recording and nurturing potential vendors in the CRM.
* Preparing pre-listing materials and presentations (listing kits, suburb reports, profiles).
* Coordinating marketing for new listings: arranging photography, floorplans, online uploads and brochures.
* Assisting with diary and calendar management for inspections, appraisals and vendor meetings
* Preparing some types of documents for various appointment types.
* Coordinate and book homeopens and private viewings.
* Liaising with vendors throughout the listing process, keeping communication clear and timely.
* General administration: database management, office organisation, compliance paperwork.
* Freeing the Principles from distractions, away from low return-on-time activities, so they can focus on the listing and selling appointments.
What We're Looking For; the right person will:
* Have some prior experience in real estate support, sales administration, or PA roles.
* Be tech-savvy, confident using CRMs, property platforms, and Microsoft / Google Suite.
* Bring strong organisation and follow-through – disciplined about systems and deadlines.
* Have excellent communication skills for vendor follow-ups and client care.
* Be detail-minded, ensuring accuracy in all documents and reporting.
* Common Sense isn't so common these days, so the ability to problem solve, anticipate problems, and handle issues independently is critical.
* Show initiative and reliability – able to anticipate what the agent needs next.
* Hold a Certificate of Registration or Real Estate Licence (not essential)
* Have worked directly in a listings-focused role before.
