About the role
As the first point of contact for clients, you'll be the face of Simba Global and a key resource for our internal team. Working closely with the Executive Assistant and our broader team, you'll ensure an exceptional Simba Experience
This role sits within our Bayswater Head Office, where you'll collaborate daily with both internal and external stakeholders. Joining a dynamic team, you'll quickly become an integral part of our client-obsessed culture, directly supporting our directors and handling a diverse array of office tasks.
Specifically, the role will involve:
* Ensuring the reception areas, showrooms, boardrooms, kitchens, and breakout areas are set up, maintained and tidy at the beginning and end of each day.
* Communicate with customers regarding tickets, flights, and other aspects of the Simba experience.
* Accountable for the day-to-day maintenance of the coffee machine, ensuring our machines are clean, stocked and in working order.
* Overseeing the centralised booking system for the meeting rooms, and catering requests.
* Liaising with external suppliers such as catering companies, venues, etc., to assist with client experience, as well as collecting catering as required.
* Coordinating incoming and outgoing mail and deliveries, ensuring everything is managed efficiently.
* Oversee all office orders- from Woolworths, Costco and Officeworks to Nespresso- monitoring stock levels and replenishing as needed.
* Managing petty cash and handling post office requirements will also fall under your remit.
* Assist with meeting coordination and handle ad hoc requests to keep our leadership team supported.
* Research and book travel for both business and personal commitments for our owners, as required.
* Work closely with the EA for any adhoc tasks for the owners, as required.
About you
Your proactive approach will see you excel by using your initiative and unique approach to ensure tasks are completed effectively, rather than relying solely on direction.
You will be able to demonstrate:
* Prior administration or front-of-house experience in a corporate or professional office environment.
* Previous experience in a Personal Assistant or similar accountable role highly advantageous.
* Professional and confident communication skills, comfortably engaging with all levels of seniority, including Directors and longstanding clients.
* A great phone manner and clear, articulate written communication, you'll shine in email, phone, and in-person interactions
* Techy savvy – proficiency in Microsoft Office, and the ability to use Technology to create more efficient processes.
* You take genuine pride in your work and demonstrate a strong sense of ownership. You proactively follow through on requests, quickly grasp new tasks, and thrive with minimal direction.
