Primary objective
Provide timely and high level administrative and assistance to the Deputy Chief Executive Northern Territory Regional Health Service and
Office of the Deputy Chief Executive ensuring the delivery of high-quality correspondence whilst acting with professionalism and
discretion at all times.
Key duties and responsibilities
1. Provide high-level executive administrative support to the Deputy Chief Executive, Senior Director, the Executive Leadership Team of
the Office of the Deputy Chief Executive and prepare executive and ministerial correspondence.
2. Act as the first point of contact for the Deputy Chief Executive and Office of the Deputy Chief Executive, diary management and
attending to routine queries, and escalating matters as required.
3. Access, research and collate information required for decision-making processes.
4. Manage the timely flow of Ministerial, Cabinet, internal and external stakeholder correspondence and maintain a comprehensive
records information management service and tracking, storage and security of files/information.
5. Organise and provide administrative support for meetings, workshops, and specific occasional events.
6. Arrange intrastate, interstate and international travel, and manage corporate purchases and reimbursements in accordance with
procurement guidelines.
7. Efficiently manage and aim for continuous improvement of the operations and rigorous administrative processes in the Office of the
Deputy Chief Executive.
8. Participate as an effective team member within the Office of the Deputy Chief Executive and work collaboratively with other
executive assistants in the Department of Health.
9. Follow defined service quality standards, work health and safety policies and procedures relating to the work being undertaken in order
to ensure high quality, safe services and workplaces.
10. Foster a positive workplace culture through exemplary leadership practices and role modeling behaviour.
Selection criteria
Essential
1. Extensive experience in providing high level secretarial and executive administrative support at an executive level, including
management of calendars and diaries, incoming and outgoing correspondence, addressing phone inquiries; coordination of travel
requirements, preparation of documentation and briefing materials and processing relevant paperwork for verification and/or
reconciliation.
1. Proven extensive organisational skills, and interpersonal skills to manage multiple priorities and competing demands within critical time
frames/deadlines while maintaining quality control, within a busy and complex work environment.
1. Highly developed interpersonal oral and written communication and negotiation skills and computer literacy with Microsoft Office
suite.
1. Proven ability to interpret, analyse, summarise, prepare and format correspondence, and demonstrate effective communication with
executives, team members, members of the public, stakeholders, private business, government and non-government organisations and
with people from diverse cultures.
1. Demonstrated ability to develop, maintain and provide advice on procedures for administrative processes including procurement, credit
card management, and travel and records management.
1. Proven ability to work within a small team, exercise discretion, maintain confidentiality, problem solve and make appropriate decisions
at the delegated level of responsibility.
