The Australian Specialised Machinery Glass and Andrew’s Mobile Windscreens Group is family owned, and one of the largest independent Automotive Glazing companies in Queensland.

We are expanding into an exciting new phase of growth, and we are seeking an exemplary and experienced individual for the position of Andrew’s Mobile Windscreens – Senior Administrator and Workshop Co-Ordinator.

This is a critical role and ensures the smooth running of the customer service, administrative and operational functions for Andrew’s Mobile Windscreens as part of the Head Office which encapsulates both businesses.

You will ensure that our Andrew’s Mobile Windscreens customers are serviced to the highest level from the initial job scope, quote, parts ordering, job co-ordination and finalisation. You will ensure that:

· Customers receive quotes in a timely manner

· Jobs are booked to the workflow as a priority

· Parts are pushed along / ordered and received within agreed timelines

· Information contained in Tasks are clear, up to date and concise for all users (internal customers)

· Tasks are up to date with the most recent information

This role is a 40 hour week, over a 9-day fortnight. (9-day fortnight begins after probationary period is completed to our standard)

Responsibilities will include:

Customer Service AMW / ASMG
* Managing fitters’ job flow throughout the day

* Greeting customers

* Vehicle / Machinery parts identification

* Creation of highly detailed tasks for fitters

* Composing Quotes in a timely manner

* Escalating quotes to appropriate channel for checking

* Ordering parts

* Booking customers / keeping customers informed on job progress

* Administering stock returns and processing credits

* Accounts Receivable and Accounts Payable data entry and reconciliation

* Chasing up parts

* Invoicing

* Obtaining payment, sending receipts

* Communicating with customers to pick up vehicles

* Becoming familiar with workflow and capabilities

* Becoming familiar with stock holdings and correct recording of this in the system

* Liaising with workshop supervisor regarding fitter’s movements during the day, as well as ability to book more work / reschedule jobs if needed.

Supervisory Duties and Management Team Engagement
* Ensure timeliness of communications with customers (ie: quotes and bookings are received promptly)

* Checking invoicing completed by others

* Maintaining a clear, organised and accurate system to ensure outstanding tasks / parts, etc are actioned in a timely and efficient manner

* Undertake and follow through to completion tasks / projects as requested by Management

* Coaching other junior staff in customer service / admin roles as required

* Liaising with Fitters regarding workflow and accurate recording of jobs

* Ensuring Fitters have appropriate equipment / resources

* Dealing with challenging customers / referring to Management any operational issues which need their attention and support.

* Ensuring open and clear communication with Management regarding any issues which requires attention.

* Actioning Anomalies – Anything that is not making sense or requires more investigation or escalation.

* Ability to work within narrow timeframes

* An outgoing friendly personality with a positive attitude

* Ability to follow instructions and procedures both verbally and in written form

* Highest level organisational, and time management skills. Ability to complete assigned tasks in a timely and efficient manner.

* Proven computer, numerical and literacy skills.

* Ability and energy to work in a fast-paced, multi-tasking environment

Skills and Knowledge

* MS Office – particularly Outlook, Word and Excel

* Excellent phone manner

* Friendly but professional Customer Service Skills

* Effective in working as part of a Team

* Leadership skills

* General knowledge of Motor Vehicles

You will need very strong communication, leadership and interpersonal skills. You must have an extremely high attention to detail and exceptional time management skills.

You must have the ability to work with limited supervision and be a positive self-starter.

This role is extremely team-focused. You must have the ability to work as part of a team and work with the fast-pace of a customer and service-based business.
