* Base salary will be in the range $95, $102, % Superannuation (HEW Level 6)

* Based at our St Lucia Campus


About This Opportunity

The Executive Coordinator plays a key role in supporting the School Leadership team—providing high‑level administrative, analytical, and project support. You'll work across the School and wider University, often handling confidential information, preparing reports, solving problems, and helping drive key initiatives. This role requires a strong understanding of University and School policies, along with regular involvement in projects and event coordination. You'll use your analytical skills, operational knowledge, and high level of discretion to support key activities across the School.

Key responsibilities will include:

* Provide high‑level executive support, including managing complex electronic diaries, coordinating meetings and travel, preparing documentation, drafting correspondence, and liaising with senior stakeholders.

* Coordinate committees and leadership meetings, including scheduling, preparing agendas and papers, taking minutes, and ensuring timely review, accuracy and completion of follow‑up actions.

* Lead and support events, workshops and functions, overseeing planning, logistics, project management and use of digital tools in line with UQ policies and objectives.

* Deliver analytical support by participating in projects, gathering and analysing data, conducting research, preparing reports, and developing recommendations for executive approval.

* Prepare high‑quality communications and materials, including content for initiatives, presentations, marketing collateral, charts/graphs, and documentation for internal and external audiences.

* Manage confidential information and administrative processes, including maintaining office systems, reviewing documents for accuracy, coordinating information retrieval, and supporting compliance activities.

* Provide responsive stakeholder support, handling enquiries from staff, students, government, industry and community partners with professionalism, tact and discretion.

* Support financial operations, including managing reimbursements and expenses, preparing and reconciling budgets, and ensuring adherence to University financial policies.

About You

* A degree with subsequent relevant experience; or extensive experience and specialist expertise or broad knowledge in administration, business or executive support; or an equivalent combination of relevant experience and/or education/training.

* Excellent interpersonal and verbal/written communication skills, including the ability to communicate effectively with people from diverse backgrounds and of varying social status.

* Developed analytical skills.

* Project coordination experience.

* Experience in multi-tasking and project coordination.

* Level of sensitivity when dealing with confidential matters.

* Excellent stakeholder management, such as the ability to effectively handle, escalate and follow up with stakeholders.

* Sound problem solving skills and judgment in resolving or redirecting issues.

* Demonstrated experience in an Executive Coordinator role in a large and/or complex organisational context

Appointment to this role is subject to the successful completion of relevant pre-employment checks, which may include verification of the right to work in Australia and other role-specific requirements such as Blue Card checks.
