Karitane is a dynamic and innovative not for profit health organisation and registered charity providing early parenting services. We support families with children from birth to 5 years of age through building parenting capacity, enhancing parent child relationships and strengthening a family's connections with supports in their community. Karitane have been a leading provider of parenting services since 1923 and are approaching our Centenary. Our services are evidence based and delivered by a caring and highly trained professional team of child and family health nurses, paediatricians, social workers, psychologists and psychiatrists offering complete, holistic care.
**PURPOSE**
The position holder will assist and support Karitane's vision through the continual pursuit of excellence in providing Secretarial/Administrative Support, which seeks to exceed clients' needs and one that is efficient and effective in the safe use of both people and material resources.
The role will support the high standard of service delivery and front line customer service to all families, visitors and staff consistent with the organisation's mission, philosophy, values and standards of care, and adheres to the Professional Code of Conduct.
**POSITION TITLE: Campbelltown Administrative Assistant**
**DEPARTMENT: Campbelltown Parenting Centre**
**OPERATIONAL BASE: Campbelltown**
**STATUS: Permanent Part time -8 hours per week**

**RESPONSIBLE FOR: Reception & Residential Unit**

**KEY SELECTION CRITERIA (each criteria must be addressed in your cover letter**)
1. Experience in front line customer service delivery with an ability to effectively use problem solving and negotiation skills.
2. Demonstrated strong organisational skills and ability to prioritise tasks and meet deadlines
3. Ability to perform a wide range of administrative tasks with attention to detail in a demanding environment
4. Demonstrated ability to manage time effectively juggling competing demands and expectations with frequently changing priorities.
5. Demonstrated Microsoft Office skills with experience in MS Word, MS Outlook, and MS Excel.
6. Demonstrated ability to work independently and as a team member and maintain strong team commitment working within a clinical environment.
7. Experience in Patient Management Systems, significant database entry, data collection
8. Experience in Medicare Billing and Private Health insurance checking procedures or willingness to train in this area.
**RESPONSIBILITIES**
1. Greet and assist all visitors, families, contractor workers and staff who attend the facility.
2. Handle customer inquiries and support needs of clients and visitors attending the facility.
3. Direct clients and visitors to appropriate area as required.
4. Oversee sign in and sign out procedures and regulate access to secure waiting area.
5. Purchase of office equipment, stationery items and maintenance of office equipment
6. Implement the daily procedures for setting up of the reception area
7. Undertake Medicare Billing and Health Insurance checks that are relevant to the role
8. Manage and maintain databases including data entry and mailing lists (where applicable)
9. Assist with preparation of data reports as directed by manager
10. Initiate and implement effective and efficient office procedures and systems.
**KEY CHALLENGES**
- Working in a demanding, busy and complex environment providing an efficient, timely and accurate administrative service. You must be able to adapt quickly to competing demands and stress tolerance is required.
- Ensuring accuracy in data entry and correct information is collected and entered into patient information systems and electronic medical records.
- Gain an understanding of medical terminology and clinical information.
**CONDITIONS OF EMPLOYMENT**
Various employment status is in accordance with the current Named NSW (Non - Declared) Affiliated Health Organisations' Health Employees Agreement. Shift times and days may be varied according to the needs of the organisation. Karitane services are provided at a number of sites within the Sydney Metropolitan Area and across NSW.
The majority of Karitane services close for approximately two weeks over the Christmas/New Year period, during which time employees are required to take leave.
