This is a permanent full time position based on site in Geelong VIC.
**About the role**
The Timesheet Administrator works collaboratively with the Project Accounting and Operations teams to support the timely processing of timesheets and payroll on behalf of projects.
The Timesheet Administrator is responsible for collaborating with Group Payroll in ensuring that employee records are correctly established and maintained, and timesheets are processed accurately and on time.
Your are also responsible for checking the accuracy of pay-slips, handling pay queries relating to wages personnel, and ensuring all timesheet/payroll activities are transacted in line with group deadlines.
A balance of keen attention to detail, a sense of urgency, and the ability to handle sensitive information is critical to the role.
**About You**
You will collaborate with the UGL and Client teams, draw on yours and their diverse skills and create an environment where great ideas are heard, and everyone looks out for one another. Ideally you will have:
- Advanced Microsoft Office skills in particular Excel
- Project and / or site experience in a payroll/timesheet role
- Ability to work in an effective team environment and promote positive behaviours
- High level of attention to detail
- Ability to adapt to change and learn new systems and processes
- Demonstrated ability to create and maintain internal and external relationships
- Ability to work autonomously, maintain confidentiality and organise / prioritise demands
- Ability to manage multiple complex tasks simultaneously, set and meet deadlines and follow through within a fast-paced environment
**Key responsibility areas**
- Actively engage with the Operations team to ensure that approved timesheets are complete and submitted in time for processing
- Process timesheets into UGL systems accurately and in a timely manner to meet business deadlines
- Follow up and ensure systems driven timesheet approvals are completed in a timely manner
- Resolve timesheet/pay-run errors as they arise
- Input approved timesheets into Client systems for projects if contractually required
- Work with the Project Accounting team to ensure that timesheet codes are correct and in line with project costing expectations
- Collaborate with Project Accounting team to ensure new/updated rates for projects are correctly submitted to Corporate Payroll for updates
- Collaborate with Corporate Payroll team to ensure changes to employee records are correct in relation to set agreements and employee conditions
- Work with other members of the Timesheet/Payroll team to maintain and manage the team Shared Mailbox for timesheets/payroll submissions & queries
- Attend to other payroll queries and submit payroll support if required
- Assist in payroll reporting and reconciliations when required
