Primary purpose of the position
The Area Office Manager is responsible for the management and coordination of office facilities across CCQ's Wide Bay Region Offices in Hervey Bay and Bundaberg and associated administrative services throughout CCQ.
The primary location for this role is Hervey Bay.
This position is an office-based position working Monday – Friday ********* pm
Key responsibilities
Provide high levels of customer service standards and professionalism in handling phone call enquiries and welcoming visitors.
Maintain and regularly revisit phone call handling procedures to ensure they are effective and deliver best outcomes for callers.
Monitoring, responding to and actioning mailboxes as required.
Organise internal/external meetings and events as required including managing external venues bookings.
Support logistics and catering coordination for office events, functions, and fundraiser for the respective office.
Coordinate facilities and building maintenance to a high standard in line with WHS compliance requirements where applicable.
Provide localised Fleet Management service including adhering to the Motor Vehicle Policy.
Play a key role in new starters on board, being point of contact for all new starters ensuring all arrangements have been made prior their commencement including local WHS and emergency evacuation induction, seating, onboarding plan.
Checking in regularly.
General office housekeeping.
Collaborate and discuss with other Office Administration Managers to ensure an effective and efficient workflow between offices and ensuring sufficient phone and leave coverage.
Key Selection Criteria
Experience in a being the first point of contact and providing positive first impressions including organising functions and meetings with both internal and external stakeholders at a high standard.
Sound administration skills, including Intermediate Microsoft 365 program suite knowledge, the ability to format documents at a high standard, create templates, take meeting minutes and setting up and documenting administrative processes.
Work collaboratively with colleagues to promote a positive and healthy working environment.
Experience in liaising with building management to address building maintenance issues.
Knowledge of and commitment to Work Health and Safety, Equal Employment Opportunity, Cultural Safety, and Continuous Improvement principles and the ability to apply these to facilities and compliance.
The ability to be office-based in Hervey Bay Monday-Friday 8.30am-4.30pm and travel to Bundaberg (using a company vehicle) as required.
