Description
The role and responsibilities of the position are to be carried out in a manner that is consistent with the values, strategic priorities, performance goals, delegations, policies, procedures and operations of the Grace Group, legal requirements and in line with the company Code of Conduct and the capabilities required to perform this role competently.
Key Tasksand Responsibilities
* Project Planning & Coordination: Develop comprehensive project plans, timelines, and schedules to ensure efficient execution of FF&E installation.
* Client & Branch Communication: Serve as the primary point of contact for clients and the servicing branch, addressing concerns, providing updates, and ensuring client satisfaction.
* Supplier & Subcontractor Management: Coordinate with suppliers, subcontractors, project supervisors and the branch key stakeholders to ensure timely delivery and quality installation of FF&E components.
* Budget & Cost Control: Monitor project budgets, track expenses, and identify cost‐saving opportunities while maintaining project quality and scope.
* Issue Resolution: Proactively identify and resolve project challenges, mitigating risks and ensuring smooth project execution.
* Documentation & Reporting: Maintain accurate project records, including contracts, schedules, variations, back end costings, SWMS and progress reports.
* Productivity and profitability: Monitor and recommend best resource allocation (labour, vehicles, equipment) to maximise efficiency and profitability without compromising quality and the client experience.
* Working in a demanding, busy and complex environment where there are competing priorities and working to strict deadlines.
* Exercising independent initiative to problem solve, triage or manage significant issues.
* Organise and prioritise daily routines to meet identified timeframes and deadlines and responding to problems or conflict and attending to the wide variety of day‐to‐day tasks and resolving issues or escalating where appropriate.
* Managing projects remotely
* Navigating multiple internal and external stakeholders with competing priorities
Qualifications, Skills, Experience and Attributes
* Strong project management and organisational skills.
* Excellent communication and interpersonal abilities.
* Proficiency in project management tools (e.g., MS Project, Asana, or similar).
* Knowledge of FF&E materials, specifications, and installation processes.
* Problem‐solving skills with a focus on delivering practical solutions.
* Experience with Aconex preferred
* Experience with Matrak or similar asset management software preferred
* Attention to detail and commitment to quality assurance.
Certifications, Licences, Registrations
* Diploma (or equivalent) in project management
* 5+ years of experience managing FF&E projects, preferably in Australia.
* Proven ability to deliver projects on time and within budget.
* Experience working with procurement, logistics, and supplier coordination.
* PMP, Cert IV in Project Management or Construction preferred.
* Valid Australian driver's licence and the right to work in Australia.
