We are currently seeking a highly organised and motivated professional to assist with day-to-day operations. This role encompasses a wide variety of responsibilities, and the successful candidate will be capable of multitasking while demonstrating broad knowledge across administrative and project support functions.
About the Position:
The Project Administrator role at Alpha Plumb Solutions is a key support position within our project delivery operations, contributing to the successful planning, coordination and financial control of plumbing, piping, solar hot water and air-conditioning installation projects across Queensland. The Project Administrator will assist in project estimating, scheduling, cost tracking and reporting functions to ensure projects are delivered on time, within budget and in accordance with compliance standards.
This position plays a critical role in maintaining accurate documentation, monitoring physical and financial project progress, managing variations, and supporting contractor coordination. The successful candidate will combine strong administrative capability with practical understanding of construction project workflows and cost control processes.
Key Responsibilities:
· Assisting in the preparation of project estimates, cost forecasts and preliminary budgets for plumbing, piping, solar hot water and air-conditioning installation projects.
· Supporting the development and maintenance of project plans, timelines and work schedules in coordination with site supervisors and contractors.
· Monitoring project progress against approved schedules and cost benchmarks, and preparing regular progress reports and Cost Breakdown Structure (CBS) updates for management review.
· Tracking variations, material usage, labour allocation and subcontractor performance, and reporting discrepancies or cost impacts to the Project Manager or Director.
· Maintaining and updating project management software to ensure accurate recording of job status, milestones, procurement activities and financial data.
· Coordinating procurement documentation, purchase orders and supplier communications to ensure timely delivery of plumbing materials and equipment.
· Overseeing document control processes, including distribution, filing and version control of drawings, specifications, contracts and compliance documentation.
· Collecting and analysing project-related data, including productivity metrics, cost reports and completion rates, and preparing summary reports for internal review.
· Liaising with clients, subcontractors, suppliers and internal staff to facilitate communication and ensure smooth project coordination.
· Assisting the Director with administrative oversight of ongoing projects, including meeting preparation, agenda development and recording action items.
Requirements:

· Applicants must have the legal right to work in Australia.
· Associate or Bachelor's degree (Business Administration, or a related discipline is preferred).
· Minimum 2-3 years of experience as a project administrator (in plumbing or construction project administration and estimating is preferred).
· Demonstrated experience in plumbing or construction project administration and estimating (preferred).
· Practical knowledge of estimating, planning and cost control for plumbing, piping, solar hot water and air-conditioning installations.
· Ability to determine physical progress and prepare structured project progress reports and Cost Breakdown Structures (CBS).
· Strong understanding of project risk management principles. PMP or PBA certification is highly regarded.
· Experience with SAP, MS Project, Primavera, AutoCAD, SQL databases, Tradify, Click Up and Power BI is desirable (preferred).
· Knowledge of Quality, OH&S, EEO and Environmental compliance requirements.
· Experience with STC and ADMS rebate claims is advantageous.
· Proficiency in Microsoft Office 365, SharePoint, Teams and cloud collaboration platforms.
· Strong written and verbal communication skills.
· White Card (Construction Induction Card) is essential.
· Open Driver's Licence.
Salary Per Annum:
$77000 + Superannuation
