About the Role
We are seeking a friendly, reliable, and proactive Administrator to join our team in Perth. This role is pivotal to the day to day running of our association, working closely with the Executive Assistant to maintain a professional and well organised workplace. You will support operational efficiency, while contributing to improvements that enhance the experience of our team, members, and external stakeholders, making this position an integral part of our success.
Key responsibilities include:
- Reception: Responding to telephone enquiries with care, efficiency and exceptional member support, screening and directing calls to appropriate departments
- Customer Service: Building positive relationships with peers and stakeholders, demonstrating a solution-focused and professional demeanour.
- General Administration: Updating CRM system, coordinating meetings and training room bookings, invoicing, inbox management, and in-house event and catering requirements
- Office Operations: Maintaining a clean reception and office environment, ordering of office supplies, work closely with IT providers on systems and hardware, update registers, log maintenance issues with the Property Manager
- Contracts & Resources: Assisting stakeholders via website or walk in visits, with purchasing of contracts and resources, and providing support to the contracts team with member troubleshooting of our online platform.
- Team Support: Assisting Finance, Membership and Training teams with ad hoc tasks, including accounts follow-ups, invoicing, aged receivables, and general member requests
About You
To thrive in this role, you will have:
- 5 years experience in an administrative capacity
- A welcoming, positive attitude with strong customer service skills
- Proficiency in Microsoft Office (Outlook, Word, Excel)
- Experience with CRM systems (desirable).
- Excellent communication and interpersonal skills, both written and verbal.
- Previous experience in a similar role; familiarity with the Building and Construction Industry will be highly regarded.
