Axis Hire is seeking a proactive and highly organised Fleet & Special Builds Manager to take ownership of fleet administration, licensing compliance, client coordination, and special build fulfilment across our vehicle and equipment portfolio.
Axis Hire provide a wide range of heavy equipment, vehicle hire, and ancillary onsite services in the mining, civil, and construction sectors through Australia. The provision of our diverse range of fit for purpose equipment (>400 individual assets) is further supported by providing maintenance services for the hired fleet to strengthen the business of our customers.
The Axis Hire business is based in WA and spread throughout various regions (the Pilbara, Midwest and Southwest) with Bunbury being the companies base where we have purpose-built maintenance facilities that are used to facilitate equipment inspection, repair, and rebuilds.
Reporting to the Head of Business Development, this is a key role for someone who thrives on variety, combining customer engagement, fleet compliance, purchasing, workshop coordination, and day to day site support. You'll be a central point of contact between clients, workshops, suppliers, and regulatory bodies to ensure our fleet is delivered, compliant and ready for hire.
This role is responsible for managing fleet and special build requirements from quote through to delivery, while maintaining accurate licencing, inspection and compliance obligations with the Department of Transport.
You will also play an important role in fleet procurement and disposal, ensuring smooth transfers and appraisals while supporting the broader team with facilities and transport coordination.
Key Responsibilities
Business Development, Client Coordination, & Custom Builds
* Liaise with clients to understand fleet customisation needs and special build requirements
* Prepare hire and build quotes, negotiate with customers, follow up on proposals and convert business development opportunities into fit-for-purpose design deliverables
* Coordinate new hires and build fulfilment in conjunction with workshops, suppliers and internal teams to deliver bespoke fleet solutions that are client/mine-site ready
* Ensure timely delivery of fleet solutions and high service levels
Department of Transport Licensing & Compliance
* Manage Department of Transport processes including:
o New equipment licensing
o Annual inspections
o Plate changes
o Stamp duty
o Interstate number plate transfers to WA
* Prepare and submit documentation in line with licensing requirements
Fleet Buying/Selling and Yard Manager Duties
* Oversee daily yard operations in the capacity of Yard Manager, scheduling equipment/deliveries, fleet site coordination, maintaining inventory, ensuring safety compliance, and handling administrative tasks.
* Manage the companies business of buying and/or selling assets including motor vehicles, service trucks, light trucks, and other equipment
* Coordinate transfers, compliance and supporting paperwork
* Conduct or coordinate vehicle appraisals
Procurement & Purchase Orders
* Raise and manage purchase orders for fleet builds, parts, and services
* Track supplier orders and ensure correct cost allocation
Annual Bus Inspection Coordination
* Coordinate annual bus inspections with clients and external inspectors
* Compile and submit inspection documents to the Department of Transport
* Ensure inspection schedules and compliance timelines are met
Facilities Upkeep & Operational Support
* Oversee general property and facilities maintenance including upkeep and repairs of equipment and the yard itself
* Assist with providing door-to-door or depot-to-depot delivery of fleet to meet the client's needs.
* Provide transport logistics assistance on an as required basis, such as managing a load shift, or responding to out-of-course delivery events etc
* Provide support to the workshop team when needed
About You
To succeed in this role, you'll be confident working independently and juggling multiple priorities across compliance, client engagement and operations.
You will ideally bring:
* Experience in fleet administration, transport compliance, or vehicle asset management
* Strong knowledge of WA Department of Transport licensing processes (highly regarded)
* Yard Managers Licence (highly regarded)
* Strong customer service and business development skills
* Ability to prepare and follow up quotes and coordinate multiple stakeholders
* High attention to detail with documentation and compliance
* Comfortable supporting yard operations, transport coordination and workshop requirements
* Strong organisational skills with a "get it done" attitude
