Base Salary $103,185 - $111,237 + 17% superannuation

At the forefront of cancer control, Professor Karen Canfell and her team play a pivotal role in supporting policy, practice and decision-making for innovative cancer solutions. Their groundbreaking work has led to the transformation of Australia's National Cervical Screening Program, which transitioned to HPV testing in 2017, positioning Australia as the first country expected to eliminate cervical cancer as a public health issue.

Professor Canfell's team also lead the Elimination Partnership in the Indo-Pacific for Cervical Cancer (EPICC) program. This is the largest ever initiative of its kind, working across more than 8 countries in the Indo-Pacific, leveraging Australian, international and in‐country partner expertise to accelerate the World Health Organization's strategy for the elimination of cervical cancer.

We are seeking a highly organised and proactive Program Coordinator to play a central role in supporting the EPICC program. The incumbent will provide operational project management and administration support and advice to ensure the efficient implementation of project plans, activities, and tasks across multiple workstreams, and provide secretariat services to ensure effective coordination of the EPICC consortium.

Your key responsibilities will be to:

* perform operational project coordination and logistics support activities to contribute to project planning and delivery across multiple workstreams and grants
* administer grant schemes including grant application coordination, financial administration and reporting
* assist in project financial management, including managing records, procurement and finance processes, including invoices, purchasing, Concur, and reporting
* provide secretariat services including coordinating meetings and committees, including scheduling, agenda and minute preparation, logistics, and document management
* support events, workshops and conferences, including arranging domestic and international travel for staff and partners, arranging venues and catering
* monitor project activity, deliverables and milestones, identifying issues or deviations and implementing adjustments to maintain progress
* support knowledge management and document management across the program to promote alignment and understanding of project objectives and processes among project teams and consortium members
* coordinate the collation and preparation of project data and information, ensuring resources and documentation are available for internal/external teams and program reporting
* manage EPICC website and social media channels including LinkedIn and Facebook to raise program visibility and share key achievements
* support the development and publication of project presentations, documents, reports and online communications (website content and social media communications) to ensure positive and professional program representation
* develop and maintain productive relationships with internal and external stakeholders to support collaboration and shared understanding of project progress and requirements
* respond to a wide range of complex enquiries, offering sound advice and well considered recommendations based on University policies and procedures
* undertake other duties appropriate within the classification level as required

About you

* Bachelor degree or an equivalent combination of relevant training and experience
* strong organisational and time management skills, with demonstrated ability to prioritise and work autonomously under pressure and to deadlines
* excellent interpersonal skills and the ability to engage effectively and build strong working relationships across large, diverse stakeholders including national and international partners
* proven experience coordinating complex grant programs, preferably DFAT‐funded initiatives within NGOs, global health or university environments
* experience coordinating meetings, preparing documentation, and servicing committees including agenda preparation and minute taking
* demonstrated experience coordinating conferences, workshops and large meetings, including national and international travel, visa processes and logistics
* high level computer literacy, including experience with spreadsheets, databases, and online administrative systems (SharePoint and/or University platforms desirable)
* familiarity with website content management systems (WordPress and/or University platforms desirable)
* confidence using social media platforms for professional communication
* understanding of grant administration, grant writing and reporting
* familiarity with DFAT global development programming policies compliance standards
* excellent writing and editing skills, with demonstrated experience in drafting reports, narratives, and formal documentation
* demonstrated initiative, proactive attitude, tenacity and strong follow‐through
* ability to think ahead, solve problems and keep complex workflows on track
