Swordfish Computing is an innovative Adelaide based Digital Science and Technology business. Swordfish was established in 1999 with the goal of providing specialist Computer Systems Engineering, Software Engineering, and Modelling, Simulation and Analysis (MS&A) services in support of Defence Research and Development (R&D) programs within Defence.

This role suits someone who enjoys working with information, ensuring records are correct and complete, and keeping processes organised and reliable. You understand that strong administrative foundations underpin business success.
This role plays a key part in ensuring administrative processes are completed reliably and to a high standard. Your structured and methodical approach will support compliance, reporting accuracy, and smooth day-to-day operations across the business.
Key Responsibilities
Maintain accurate administrative records, registers, and business information to support compliance and operational integrity.
Ensure documentation and information systems remain current, organised, and professionally maintained.
Accurate timesheet reporting and assisting payroll function.
Prepare meetings, record notes, and track actions to ensure follow-up and completion.
Process invoices and expenses for accurate reporting.
Keep administrative systems and electronic filing organised and up to date.
Support coordinating internal events, team activities and conference applications.
Support onboarding and offboarding and recruitment administration and documentation.
Arrange travel and accommodation bookings as required.
Ensure the confidentiality and security of sensitive information.
Provide general administrative support to the wider business.

Qualifications Experience/ Attributes
Minimum 5 years' experience in administrative role or similar position.
Strong organisational skills with the ability to prioritise tasks and manage time effectively.
Strong interpersonal and communication skills.
High attention to detail with a focus on accuracy.
Excellent problem-solving skills with a proactive approach to challenges.
Ability to work with discretion and maintain confidentiality in commercial matters.
Highly proficient in MicrosoftOffice (Word, Excel, PowerPoint, Outlook).
Experience working with HRIS, finance, or business administration systems (e.g., ELMO, Employment Hero, Xero, Fathom).
Pre-Employment Requirements
It is a requirement that the successful candidate must provide proof of Australian Citizenship to gain appropriate Defence Security Clearances.
