The Role
We're looking for a highly organised Project Coordinator to support the successful delivery of our project portfolio across Australia and New Zealand. Reporting to the Project Operations Manager and partnering with Project Managers and cross‐functional teams, you'll keep projects moving by maintaining schedule discipline, documentation integrity, governance compliance and structured stakeholder communication. This is an office‐based role and a great opportunity to build a long‐term career supporting complex, fast‐paced project delivery in the healthcare technology industry.
Responsibilities
* Maintain schedules, action logs and trackers to support on‐time delivery
* Coordinate resourcing inputs, follow‐ups and day‐to‐day delivery rhythm
* Manage documentation, registers, correspondence and approvals with strong version control
* Manage workflow documentation, drawing submissions and project programmes – utilising platforms such as Aconex, Hammertech, Procore etc.
* Coordinate stakeholder updates, meeting cadence (agendas/minutes) and action closure
* Ensure clear information flow across internal teams, vendors and customers
* Prepare reports and dashboards to support visibility and decision‐making
* Maintain risk and issue logs and escalates appropriately
* Coordinate procurement and materials delivery to prevent avoidable delays
* Support commercial administration, including progress claims, invoicing and variations
What will make your application stand out
* Experience in a project delivery environment (construction, engineering, healthcare projects or similar), with exposure to schedules, registers, reporting and documentation
* Experience supporting progress claims, invoicing workflows and/or variations (hands‐on involvement highly regarded)
* Strong document control capability and confidence managing drawing submissions/ workflows
* Systems aptitude and willingness to learn (exposure to SAP and online pipeline/platform processes well regarded)
* Highly organised, detail‐focused, proactive and confident communicating across stakeholders
