The Opportunity

We’re seeking a proactive Fleet Administration & Reporting Specialist to work closely with our Fleet Manager, ensuring our operations run smoothly and efficiently. This is a hands-on, high-trust role where your organisational skills, attention to detail, and ability to work across teams will keep our fleet in top shape and our reports accurate.

What You’ll Do

* Draft, update, and maintain company policies
* Coordinate team meetings and 1:1s, including agendas and follow-up
* Take accurate meeting minutes and distribute them promptly
* Prepare and circulate monthly maintenance newsletters
* Monitor fuel card transactions and compile defect reporting statistics
* Produce monthly reports for managers and quarterly board reports
* Build and manage Excel spreadsheets for data entry, analysis, and dashboards
* Act as a reliable point of contact for internal teams and external partners
* Manage insurance claims documentation and follow-up actions

What We’re Looking For

* Strong Microsoft Office skills, especially Excel (formulas, pivot tables, dashboards)
* Excellent organisational and time management skills
* Clear written and verbal communication abilities
* Previous experience in administration or operations support
* Confident working both independently and as part of a team
* Detail-oriented with a proactive approach to problem-solving
