Job Summary
An Administrative Assistant plays a vital role in supporting the administrative functions and daily operations of the business. This position ensures the efficient coordination of office activities, contributes to process improvements, and provides comprehensive administrative support to maintain operational effectiveness and regulatory compliance. An Administrative Assistant will be responsible for -
* Accurately administer issuance of Building Approvals (Decision Notices), Final Inspection Certificates (Form 21), Certificates of Occupancy (Form 11), Amended Decision Notices (Variations) and relevant documentation to Councils and stakeholders.
* Review documentation submitted with new and existing applications using Checkpoint’s online systems and sending Requests for Further Information (RFI) as required.
* Prepare and submit applications to relevant authorities and Councils (e.g. Plumbing and Vehicle Crossover applications).
* Manage incoming and outgoing email and telephone communications, ensuring timely responses, correct routing, and consistently professional correspondence. · Coordinate and communicate inspection bookings and associated documentation efficiently and clearly.
* Maintain clear, transparent, and professional communication with clients and colleagues, both written and verbal.
* Perform general daily administrative tasks to support smooth office operations.
* Assist with workflow management to ensure timely lodgement, assessment, and approval of applications; liaise with internal teams to track progress, coordinate priorities, and meet client Service Level Agreements and deadlines.
* Generate and reconcile invoices, expenses, and disbursements with accuracy and attention to detail.
* Identify opportunities to streamline processes and recommend improvements to enhance operational efficiency.
Required Experience, Skills and Qualifications
This is a busy and hands on position that requires an adaptable and enthusiastic individual with excellent time management
* Previous experience and interest in Domestic Building Certification or Construction highly regarded.
* Excellent written and verbal communication skills.
* Detail-orientated with strong organisational abilities
* Ability to work effectively in a team as well as autonomously
* Eagerness to learn and grow professionally in the field of building surveying/certification.
