Job Description
This role supports the day‑to‑day operations of the Brisbane office by managing access cards, security systems, fleet vehicles, and office assets. You will work closely with the Senior Workplace Coordinator and Concierge to ensure seamless office operations, timely support for staff and visitors, and efficient coordination of events, deliveries, and workplace services.
Day in this role
- Program office access cards and manage security systems
- Assist with event support on Level 8 including catering, drinks and setup where required.
- Provide knowledge of Microsoft Teams and basic AV troubleshooting of room equipment to support staff meetings.
- Provide reception coverage and other team support where required.
- Manage the Brisbane Fleet, including control of Fleet Gate, assistance with fob creation, paperwork submission, and day‑to‑day upkeep of cars. Work closely with the ANZ Travel team to keep the fleet in good working order.
- Manage the AECOM Work‑from‑home kits and other office assets. Back‑up mobile phone management when the Senior Workplace Coordinator is on leave.
- Help manage the day‑to‑day operations within the office, including daily floor walks to keep the space safe and tidy.
- Work with Building Mgmt. and Loading Dock on logistics including supplier deliveries, onsite contractors, etc.
Qualifications
The following qualifications and experience are highly desired, but if you don’t tick all the boxes, you could still be a perfect fit for this role.
- Ideally, around 2+ years of experience in workplace coordination, facilities management, or operations management with a customer‑centric focus.
- Outstanding people and communication skills with the ability to liaise with internal and external stakeholders at varying levels of seniority.
- Excellent working knowledge of the full Microsoft Suite with the ability to pick up new technologies quickly and efficiently. Exposure to AV systems is advantageous.
- Proven ability to multi‑task and problem‑solve, with strong organisational skills.
- A track record of working within a tight‑knit team and delegating tasks as required.
- Valid Driver's License (essential) and current (or willing to be trained) Fire Warden and First Aid training.
