An exciting opportunity for a highly motivated, experienced and organised Contract Administrator to join Centina and work with our experienced residential team.

You will play a crucial role in supporting our projects to be delivered on time, within budget, and to specification.

You will be responsible for preparing, reviewing, and managing contracts to ensure compliance and accuracy. Daily tasks include negotiating contract terms, coordinating procurement processes, maintaining contract records, and liaising with internal teams, suppliers, and clients to address contract‑related concerns. The role requires collaboration to minimise risks, control costs, and ensure project success.


Requirements

Proficiency in Contract Negotiation and Contract Management to draft, review, and manage contracts effectively.

Strong Analytical Skills to evaluate contract terms, assess risks, and identify cost‑saving opportunities.

Exceptional Communication skills to coordinate with internal teams, suppliers, and stakeholders, and to manage and resolve disputes.

Experience with Procurement processes to ensure efficient and transparent acquisition of goods and services.

Strong organisational skills and attention to detail are highly desirable.

Bachelor's degree in Business Administration, Law, or a related field is preferred.

Previous experience in contract administration or a similar role in the construction industry is an advantage.


Key Responsibilities


Administer Head Contracts

Prepare, compile, and submit accurate progress claims in accordance with contract requirements and project timelines. Liaise with project managers, site teams, and clients to verify completed works, ensure supporting documentation is provided, and resolve any discrepancies promptly.

Identify, cost, and prepare variation notices, ensuring all changes are documented, costed, and justified.

Maintain clear records to support commercial transparency and contractual compliance.

Prepare and issue Notices of Delay (NOD) and Extensions of Time (EOT) claims in line with contractual obligations and with an understanding of impacts on the project schedule.

Participate in Project Control Group (PCG) meetings alongside senior project stakeholders. Accurately record minutes, actions, decisions, and risks; distribute meeting records promptly; and follow up on outstanding items to support effective project governance and communication.


Subcontractor and Supplier Procurement

Develop and maintain letting schedule ensuring that letting milestones are achieved in conjunction with the construction programme.

Manage and/or support Subcontractor Request For Tender packages in line with the procurement schedule.

Interpret and work within project cost plans and budgets, ensuring procurement decisions align with financial targets.

Conduct confident negotiations with subcontractors and suppliers to secure competitive pricing and high‑quality outcomes.

Prepare accurate and detailed quantity take‑offs for relevant trades to support tendering, cost planning, and procurement activities.

Review drawings, specifications, and addenda to ensure all scope items are captured.

Develop clear, comprehensive scopes of work for each trade package, ensuring alignment with project documentation and construction requirements.


Subcontractor Administration

Prepare and issue subcontractor agreements in accordance with project requirements and company policies with a full understanding of the commercial conditions.

Generate and manage purchase orders for materials and track commitments.

Assess, measure, and value subcontractor and supplier variations, ensuring all changes are validated against contract documents.

Confidently valuate and address subcontractor or supplier disputes with a solutions‑focused approach.


Reporting

Prepare and deliver comprehensive monthly project reports to senior management.

Develop and maintain accurate cost forecasts throughout the project lifecycle by tracking commitments, actuals, and anticipated expenditure.

Identify, evaluate, and monitor project‑related risks and opportunities, considering commercial, contractual, and operational impacts.

Work collaboratively with project teams to develop mitigation strategies, optimise outcomes, and keep risk registers up to date.

Prepare accurate and detailed project cash flow projections based on programme progress, contract terms, and forecast expenditure.


Stakeholder & Team Collaboration

Work closely with project managers, site teams, estimators, and finance team to align throughout project delivery and procurement activities.

Maintain strong relationships with clients, consultants, regulatory authorities, and industry bodies.


Key Skills & Experience

3+ years of experience in contract administration within the construction or property development industry.

Proven experience in procurement and financial management.

Experience within CHEOPS is preferred.

Understanding of construction sequencing, cost planning, and procurement.

Excellent stakeholder management, problem‑solving, and negotiation skills.
