While this role is an administration position, it is also based at the Ballarat reception desk, with added duties of meeting and greeting clients, and ensuring our front office, meeting rooms and facilities are kept clean and tidy. Your proactive nature to look for work won't go unnoticed here This position is part‑time, with working hours Monday to Friday 10am – 3pm.
Your Responsibilities
* Support our legal team with administrative tasks and optimise the use of internal systems to process information.
* Cultivate strong relationships and trust through empathy and understanding, interpreting client needs and connecting them with the right legal team members.
* Apply your keen eye to general filing, indexing medical records, requesting documents, processing expenses, photocopying, mail management, and archiving management to spot opportunities for improvement so we can stay ahead of the pack and deliver the best outcomes for our clients.
* Respond to inbound calls, couriers and emails from clients, prepare new client documents, ensuring they feel looked after, supported and heard.
* Assist with preparing matters for conference and hearing, including collating briefs to Counsel and experts, legal searches, preparation of court and legal documents and general correspondence.
* Proactively provide chargeable and non‑chargeable support to our legal team with general administrative duties, in order to obtain maximum compensation for clients, from file opening to closure.
What you'll bring
* Previous administration/business support experience.
* Professional presentation with a customer service focus.
* Accurate typing skills with intermediate Word & Excel skills.
* A keen eye for detail in your document management and collation skills.
* A great communicator both verbally and in writing.
* You'll be naturally empathetic and have a resolute passion for helping people, especially those that have undergone trauma.
* You'll recognise and value the importance of your role as the gateway to support our clients.
