Epworth HealthCare is Victoria's largest not-for-profit private health care group, renowned for excellence in diagnosis, treatment, care and rehabilitation. The Health Information Services (HIS) department is seeking a highly motivated and excellent communicator to join our Medical Record Access Team on a permanent full-time basis. Working hours are from 8:00 am to 4:06 pm, Monday through Friday, located at our Richmond campus. This position is onsite only; remote work is not supported.
As a Medical Record Access Officer, you will be the first point of contact for anyone wishing to seek access to Epworth HealthCare patient medical records. You will respond to telephone calls and emails from patients, family members, law firms, police, courts, insurers, WorkCover and other third parties. Your responsibilities will include providing information about the access process and fees, assisting with questions, assessing every request to ensure appropriate authority, managing the entire request lifecycle (registering requests, invoicing, payment processing, photocopying, exporting, collating and releasing information), and handling legal and privacy compliance under the Health Records Act 2001 and the Privacy Act 1988. During periods of low activity you may assist with scanning patient records, reception duties or ward rounds to collect records of discharged patients.
Responsibilities
* Handling all telephone queries from staff, patients and family members, and any third‐party organisations (including WorkCover, TAC, law firms, insurers, courts and other organisations) concerning health information access.
* Responding to all queries received via telephone and email in a professional and courteous manner, providing requesters with information regarding the process and fees.
* Diligently assessing all requests received to ensure that appropriate authority is provided.
* Undertaking all administrative tasks associated with Medical Record Access including registering requests, invoicing, payment processing, photocopying, exporting, collating and releasing information.
* Thoroughly assessing requests and identifying and extracting information that is relevant to the request.
* Accurate and timely entry of data and relevant record keeping of all received requests in accordance with policies and procedures.
* Scanning digital patient medical records and managing duplicate UR numbers.
* Assisting with department Receptionist duties and on Ward Rounds to collect patient records when required.
Qualifications
* Excellent customer service skills with a focus on meeting the needs of internal and external stakeholders.
* Excellent time‐management and organisational skills in order to effectively coordinate the various processes and steps involved in the process.
* Effective written and verbal communication skills with a professional telephone manner.
* Ability to clearly and coherently convey relevant information to all stakeholders, both internal and external to Epworth.
* Intermediate working knowledge of the Microsoft Outlook Suite (primarily Outlook, and the Office suite).
* A solid work ethic and the ability to work autonomously within a team to ensure all work is completed in a timely manner.
* Proven high attention to detail and diligence to ensure correct patient information is released at all times.
* Flexibility in a changing work environment with an openness to changing processes and procedures.
Desirable
* Previous experience in a similar role.
* Previous experience with a Patient Administration System (iPM, WebPAS, TrakCare) and a Scanned Medical Record system (BOSSnet or CPF).
* Medical Terminology proficiency.
