Reference number: PD14 Closing date: 16 Jun 2025 Position title: Purchasing Officer Employment type: Full Time Department: Maintenance & Stores Responsible to: Manager of Corporate Services Location: Ouyen Closing date: 16 Jun 2025, 5:00 pm Contact person: Rakesh Nagalla (Manager of Corporate Services) Contact number: (03) 5092 1111 Position summary The Procurement and Stores Officer is responsible for the efficient, cost-effective, and timely purchasing of consumables, equipment, and other items required by MTHCS. The role facilitates effective communication between the Supply Department, end users, and suppliers to ensure smooth procurement processes. This position also includes responsibility for managing the day-to-day operations of the store, ensuring accurate stock control and distribution. Selection criteria Essential: Computer skills including experience using emails. Excellent time management skills. Ability to work independently. Willingness to work towards a Certificate IV in Purchasing and Contracting. Abiding by organisation's code of conduct. Proven ability to work as a team member in a multidisciplinary environment. Current Driver's Licence. Current Police Check. Desirable: Knowledge base of purchasing processes. Knowledge of Chemical handling. Key responsibilities Order, receive and co-ordinate the dispatch of stores critical to the operation of all departments as agreed and directed. Source, select, assist and advise MTHCS staff and management with enquiries regarding purchasing issues, procedures, needs, costs and quotations. Establish and maintain a reliable network of suppliers, ensuring effective communication and timely resolution of issues, including those related to delivery schedules. Liaise with Health Share Victoria as appropriate and provide advice to senior management for current and anticipated service contracts. Responsible for the preparation and process purchase orders and documents in accordance with MTHCS policies and procedures. Order and procure medical and non-medical special and capital items as directed. Assure the movement of critical medical stores into and from the store to various departments e.g. cold store medications and critical equipment. Maintain adequate inventory stock control and impress systems. Maintain complete updated purchasing records/data and pricing in the system. Prepare reports as required by management. Coding invoices. Ensure competent quality execution of all regular purchasing duties and administrative works. Other duties as directed. Section 21 of the Occupational Health & Safety Act 2004, requires an Employer to provide and maintain, so far as is reasonable and practicable, a safe workplace for all employees and ensure that no employee is placed at risk of injury while performing the duties and responsibilities required by their position. To comply with this obligation, MTHCS requires all candidates/employees to have the mental and physical capacity to safely perform the inherent requirements of the position they are applying for (or have been appointed to). If a risk is identified and fitness to safely perform the duties of the position needs to be determined, MTHCS with the agreement of the candidate/employee, will arrange an independent medical assessment to determine capacity to safely perform the inherent requirements of the position to minimise the risk of injury or aggravation of any pre-existing condition the candidate/employee may have. Compulsory Training As per the schedule. Performance Appraisal Conducted as per appraisal schedule.
