About the role
The executive assistant is a key support role within our Governance & Assurance team, providing high‑level executive support to the Chief Assurance Officer (CAO) to ensure smooth operations and effective decision‑making. This position is a unique opportunity to work closely with the CAO to manage priorities in a fast‑paced environment, support maintenance of organisational registers, take on key project work within the scope of the role, and handle sensitive information with professionalism and discretion.
Key responsibilities
* Organising schedules, appointments, and maintaining updated contact lists
* Drafting and formatting correspondence, reports, presentations, and other materials as required, ensuring proper documentation and filing in accordance with organisational record‑keeping policies (both digital and physical)
* Exercising a high level of discretion and sound judgment when handling confidential information, sensitive communications, and decisions
* Preparing and distributing agendas for CAO‑led meetings
* Recording and maintaining meeting minutes as required
* Taking on projects to support the CAO as required
About you
* Highly developed person‑centred communication skills
* Excellent verbal, written, and presentation skills
* Strong analytical, problem‑solving, and numerical skills, including the ability to compile, analyse data and prepare reports
* Demonstrated high level of attention to detail with a consistent approach
* Demonstrated ability to prioritise conflicting priorities as required
* Ability to work under minimal supervision, exercising initiative with work processes and procedures, and establishing objectives and outcomes
* High level organisational, administrative and project management skills
* Proven ability to think critically and approach challenges with innovation
Role requirements
* Certificate IV in Business Administration or similar (desirable)
* Minimum of 2 years' experience in a high‑level administration/secretarial position
* Occasional out‑of‑hours work may be required
* Travel to selectability sites may be required at times
* A Child Safety & Personal History Screening check
* A Positive Notice Working with Children (blue card) (or the ability to obtain)
* NDIS Worker Screening Clearance (or the ability to obtain)
* NDIS Worker Orientation Module "Quality, Safety & You" completion certificate (or the ability to obtain)
* A current minimum P1 "C" class Queensland driver's licence
