We are currently seeking a highly organized and proactive Administration Officer to join our team. As an Administration Officer, you will be responsible for managing and coordinating day-to-day administrative duties to ensure the smooth operation of our operational region. This position requires the ability to handle multiple tasks and requests simultaneously while maintaining excellent communication and organizational skills.
Health, Safety & Environment:
* Ensure strict adherence to safety standards and regulatory compliance
* Demonstrate a strong commitment to improving health and safety within the operation
* Provide clean personal protective equipment (PPE) to visitors on-site and ensure contractors have their own PPE to meet site requirements
* Oversee cleanliness and hygiene of the admin building, reporting any issues to the cleaning contractor
* Maintain hazard awareness and report incidents to drive continuous improvement
* Act as a champion for the site access control system
Client/Customer:
* Display a strong commitment to delivering exceptional customer service, both internally and externally
* Respond promptly and proactively to all queries and inquiries from both internal and external stakeholders
* Ensure adequate stock of consumables, stationery, and clothing is maintained
Operational Outputs:
* Serve as the first point of contact for employees and external stakeholders
* Efficiently answer and direct calls to the appropriate departments
* Greet and direct employees, contractors, and visitors
* Process and direct incoming and outgoing mail, packages, and deliveries
* Maintain and update internal databases, including iLearn, Chris 21, and SitePass
* Monitor and save training documents
* Update and maintain employee records, both physical and digital
* Ensure proper document control
* Allocate and update the pool car register
* Manage meeting requests and room bookings
* Perform general administrative duties
* Organize and coordinate morning teas, lunches, and functions
* Facilitate contract services, such as maintenance in the admin building

* Possess effective written and verbal communication skills
* Work effectively both unsupervised and within a team environment
* Display self-motivation, enthusiasm, and strong decision-making abilities
* Ensure contractor and employee compliance with business processes and procedures
Innovation & Process Improvement:
* Review processes and provide suggestions for improvement
* Actively participate in projects when required

* Efficiently and effectively manage the arrival of employees and external stakeholders on-site

Qualifications: Requisite Experience:
* Previous experience in administration roles
* Ability to handle sensitive information with confidentiality
Knowledge, Skills, CPD, PDP:
* Mandatory experience with MS Office
* Desirable experience with SAP, SitePass, and Chris 21
