About the role
Rugby World Cup Australia is excited to offer an opportunity for an Executive Assistant based in our Sydney office. Reporting to the Managing Director (MD), you will deliver exceptional executive support and contribute to the overall effectiveness of the organisation. You will anticipate needs, solve problems before they arise, and provide high level administrative support to the MD, Executive Management Team (EMT), and the wider RWCA team.
Key responsibilities include but are not limited to:
Managing Director Support
* Provide high‑level, confidential executive support, ensuring the MD's time, priorities, and workflow are effectively managed.
* Manage calendars, meetings, briefings, correspondence, and follow‑up actions to a consistently high standard.
* Coordinate travel, expenses, documents, and stakeholder engagement to support smooth and efficient operations.
Executive Management Team (EMT) Support
* Support EMT meetings through agenda preparation, note‑taking, and action tracking.
* Plan and coordinate EMT offsites, workshops, and strategic planning sessions.
* Provide administrative support to EMT members as needed.
Board and Audit & Risk Committee (ARC) Support
* Schedule and coordinate all Board and ARC meetings, including preparation of agendas and papers.
* Prepare and finalise minutes, actions, and reports in partnership with the MD and EGM Business.
* Provide support to Board members and ensure timely submission of governance documentation.
Hospitality & Events
* Manage the MD's guest lists for major RWC milestone events and hospitality functions.
* Attend events to provide on‑the‑ground support and coordination.
* Support seamless VIP and stakeholder experience across all event engagements.
Office Management
* Contribute to the smooth running of RWC office operations.
* Coordinate visitor logistics, including parking, reception preparations, and guest hosting.
* Support a professional, welcoming, and well‑organised office environment.
Qualifications & Experience
* Minimum 5 years' experience providing high‑level executive support to a Managing Director, CEO, or senior executive.
* Exceptional communication and interpersonal skills, able to build trusted relationships across diverse stakeholders.
* Strong attention to detail with demonstrated experience preparing and finalising Board papers, reports, and executive correspondence.
* Outstanding organisational and time‑management abilities, with the capacity to prioritise, multitask, and stay composed under pressure.
* High integrity, discretion, professionalism, and sound judgement, with a commitment to maintaining confidentiality.
* Proactive, solutions‑focused, and collaborative, able to anticipate needs and support a dynamic team environment.
* Advanced Microsoft 365 proficiency and comfort working in fast‑paced environments; flexibility to work irregular hours and experience in major events or sport is highly advantageous.
