We are currently seeking a seasoned and highly professional Executive Assistant to provide dedicated support to the Chair of the Board. This role is ideally suited to a candidate with a sustained career in executive support, who brings mature judgement, discretion, and a calm, authoritative presence to high-level engagements.
Position Overview
Based at MCWA's head office in Bundoora, this full-time, office-based role is critical in supporting the Chair to operate effectively in a complex, high-stakes environment. The successful candidate will be experienced in handling sensitive information, managing executive-level workflows, and representing the Office of the Chair with credibility and gravitas. A background in senior-level support within corporate, government, or not-for-profit environments is essential.
Key Responsibilities
1. Diary and Calendar Management: Strategically manage the Chair's schedule to maximise their availability and impact.
2. Document and Correspondence Preparation: Draft, review, and quality-assure formal communications and reports with clarity and accuracy.
3. Meeting Coordination: Prepare briefing notes, coordinate logistics, and ensure professional execution of engagements.
4. Inbox and Communication Management: Triage emails with sound judgement, respond on behalf of the Chair when appropriate, and maintain confidentiality.
5. Confidentiality and Discretion: Handle all matters with tact, discretion, and mature professional judgment.
6. Event and Function Support: Manage logistics for formal meetings and functions with external stakeholders, including government and sector leaders.
Key Selection Criteria
* Minimum of five (5) years' experience in an Executive Assistant role supporting senior leaders in complex organisations.
* Demonstrated ability to exercise discretion, mature judgement, and professional presence.
* Exceptional communication skills—both written and verbal—with a high standard of presentation.
* Experience navigating complex stakeholder environments, including Boards, executive teams, and external agencies.
* High emotional intelligence, resilience, and the ability to remain composed under pressure.
* Advanced computer literacy, particularly in Microsoft Office Suite and digital scheduling systems.
* A proactive, solution-focused mindset with the ability to work independently and anticipate needs.
