The Facilities Coordinator will assist and support the onsite Operations Team. The role will play an integral part in supporting with the management of all aspects of building services, statutory compliance and risk management, while also providing exceptional customer service.

Duties
Record, track, rectify and close out all maintenance items, building services issues, and compliance tasks in the maintenance management system in a timely manner
Conduct regular inspections and assessments of properties, plant, equipment, building fabric and external areas to proactively identify maintenance needs and ensure they are free from health and safety risks
Accurately record and report all incidents in the nominated safety management system and maintain up-to-date site safety manuals and risk registers
Ensure all building services (fire, electrical, hydraulic, mechanical etc.) are maintained in accordance with executed service agreements and tracked in the maintenance management system
Monitor regular testing and inspection of all services and essential safety measures to ensure statutory certifications and compliance are maintained
Leverage internal resources to assist and advise customers regarding building systems, property operations, property improvements and fitout proposals
Develop and maintain strong working relationships with external and internal customers, consultants and service providers
Liaise with the Senior Operations Manager, Asset Managers and Property Managers to review budgets, expenditure and prepare recommendations for proposed or required upgrade works
Assist with reviewing and coordinating necessary works, and ensure close-out documentation is provided and compliant
Monitor the energy management system and track energy, water and gas performance, reporting on variances to the property management team and tenants as required
Provide regular reporting on property performance from safety, customer service and operational perspectives
Support the property management team in ensuring targets are met and properties are maintained to premium standards
Skills
Minimum 18 months experience in facilities across Commercial or Retail
Understanding of essential safety measures, fire, electrical, mechanical and hydraulic systems
Strong computer software skills including Microsoft Outlook and Office Suite
Ability to clearly communicate with all stakeholders both in writing and verbally
Ensure customer expectations are met
Takes ownership of role and deliverables and is results and solutions focused
Reliable and dedicated self-starter, who can work independently but also enjoys team interaction and is collaborative
Highly organised, with strong attention to detail and accuracy
Ability to follow instructions and complete tasks and objectives within specific time frames
Excellent time management skills with the ability to handle multiple tasks, re-prioritise accordingly and maintain a positive attitude
Preferable:
Strong understanding of operational budgets and expenditure - Preferable
Previous involvement with energy metering and monitoring - Preferable
Proven history working within a property management team - Preferable
