Position : Fleet Manager

Salary : $80,000 to $85,000 plus superannuation per annum

Our client is seeking an experienced Fleet Manager to join their team located in Tarneit, Victoria.
As a Fleet Manager you will be responsible for overseeing and managing all aspects of the company’s fleet operations. This includes strategic planning, fleet maintenance, driver management, compliance with transport regulations, cost control and ensuring optimal fleet performance. The position requires expertise in transport logistics, fleet optimization, regulatory compliance and operational management to support the company’s business objectives and service delivery standards.
Duties and Responsibilities :
Fleet Operations Management
- Plan, coordinate and oversee the daily operations of the company’s fleet of vehicles
- Develop and implement fleet management strategies to optimize vehicle utilization and operational efficiency
- Monitor fleet performance metrics including vehicle availability, utilization rates, and operational costs
- Establish and maintain efficient scheduling systems for vehicle deployment and driver allocation
- Coordinate with operations team to ensure timely delivery of transport services to clients
- Implement best practices in fleet management to enhance productivity and service quality.
Fleet Maintenance and Asset Management
- Develop and implement comprehensive preventative maintenance programs for all fleet vehicles
- Schedule and coordinate regular servicing, inspections, repairs and maintenance activities
- Monitor vehicle condition and performance, identifying issues requiring attention
- Maintain accurate records of all maintenance activities, vehicle history, and asset registers
- Manage relationships with external service providers, mechanics, and parts suppliers
- Ensure all vehicles meet safety and roadworthiness standards at all times
- Plan and manage fleet renewal and replacement programs
- Make recommendations for vehicle acquisitions and disposals based on lifecycle analysis.
Regulatory Compliance and Safety
- Ensure compliance with all relevant transport legislation
- Implement and maintain Chain of Responsibility (CoR) compliance procedures
- Ensure all vehicles are registered, insured, and meet safety standards
- Maintain compliance where applicable
- Monitor and ensure driver compliance with work hours, fatigue management regulations, and road rules
- Conduct regular safety audits and risk assessments of fleet operations
- Investigate incidents and accidents involving fleet vehicles and implement corrective actions
- Maintain accurate compliance documentation and records for regulatory inspections.
Cost Management and Budgeting
- Develop and manage annual fleet budget including operational costs, maintenance expenses, and capital expenditure
- Monitor and control fleet-related expenditures including fuel, maintenance, insurance, and registration costs
- Implement fuel management strategies to optimize consumption and reduce costs
- Analyze cost data and prepare regular financial reports on fleet performanceIdentify cost‑saving opportunities and implement efficiency improvements
- Negotiate contracts with suppliers, service providers, and fuel suppliers
- Track and report on key performance indicators (KPIs) related to fleet costs
Staff Management and Development
- Supervise, coach and mentor fleet coordinators, drivers, and maintenance personnel
- Conduct performance reviews and provide feedback to team members
- Coordinate recruitment and onboarding of new drivers and fleet staff
- Develop and deliver training programs for drivers on safety, compliance, and operational procedures
- Ensure drivers maintain appropriate licenses, qualifications, and medical certifications
- Manage driver performance, addressing issues related to safety, compliance, or service quality
- Foster a positive safety culture within the fleet operations team
Technology and Systems Management
- Implement and manage fleet management software and telematics systems
- Utilize GPS tracking and vehicle monitoring technologies to optimize fleet performance
- Maintain accurate electronic records and databases for fleet management
- Generate reports and analytics to support decision‑making
- Stay informed of emerging technologies and innovations in fleet management
Stakeholder Management
- Liaise with clients regarding fleet service delivery and operational matters
- Coordinate with operations management on service requirements and capacity planning
- Communicate with insurance providers regarding claims, policies, and risk management
- Build and maintain relationships with key suppliers and service providers
- Prepare reports for senior management on fleet performance and strategic initiatives.
Requirements
- Associate Degree, Advanced Diploma, Diploma or higher qualification
- At least 12 months of experience as a Fleet Manager
- Valid drivers licence
- Strong analytical and decision‑making abilities.
- Advanced knowledge of fleet management software and tracking systems.
- Understanding of vehicle mechanics and transport safety regulations.
- Ability to lead preventative maintenance programs and compliance reviews.
- Excellent negotiation and contract management skills.
