As one of South Australia's largest and dynamic Hotel Groups, this business is enjoying significant growth and is now entering its next phase of expansion. With a portfolio of several well recognised and iconic Hotels and employing over 480 people, an outstanding opportunity has arisen for an Executive Assistant to join the business and provide support to their Director.
Reporting to the Director and based at their stunning Adelaide Hills office, the key responsibilities include the following:
* Control and oversee the Director's diary to ensure most effective use of their time.
* Book and coordinate meetings on behalf of the Director.
* Monitor and manage Director's emails daily and actioning as required through to resolution.
* Collates and prepares information for management and board reports.
* Coordinate and prepare meeting minutes and agendas.
* Prioritises conflicting needs; handles matters expeditiously, proactively and follows through to ensure completion of deliverables, often with deadline pressure.
* Arranges travel plans, itineraries, and agenda; and complies documents for travel-related meetings.
* Providing support to the HR team with employment contracts, onboarding of new employees, etc.
* Preparing communications on behalf of the Director as required.
* Organise meetings and arrange Conference/Zoom/Teams calls.
* Follow up on a variety of operational issues as they arise.
* Conducting or preparing any research that the Director may require.
* Supporting the Director occasionally with out of hours meetings.
* Create and modify documents using Microsoft Office suite of products.
* Perform general ad hoc clerical duties, to include but not limited to photocopying, scanning, and filing.
* Event co-ordination and catering.
* Assisting with Work, Health & Safety and Quality Assurance office requirements.
Key Skills and Background
* Strong experience as an EA role in a similar fast paced environment supporting a senior executive.
* Excellent communication, consulting and interpersonal skills, proven ability in developing trusted relationships at all levels to gain support and achieve outcomes.
* Well-developed organisational skills, including strong attention to detail and the ability to prioritise work and follow through on set tasks.
* Self-motivated and driven; a fast learner with a calm & positive influence.
* A team player with an outgoing, confident, and vibrant personality.
* Proficient with Microsoft skills.
* Proactive, hands-on approach with a willingness to learn.
* Resilient with the ability to resolve complex issues.
* Adaptable and forward thinking.
