PRIMARY DETAIL

* Salary: $122,628- $136,449 per annum (HEW Level 8) plus 17% superannuation and annual leave loading

* Appointment Type: Full-time, 2 Year Fixed Term Contract

* Location: Macquarie University, Wallumattagal Campus, North Ryde

Macquarie University is hiring an Executive Officer to support the Chief Information and Digital Officer (CIDO). We are seeking a highly organised and strategic professional to join Macquarie University Information Technology (MQIT) at a pivotal time of digital transformation. This role provides executive-level support and coordination across strategic initiatives that advance the University's mission of being bold, distinctive, and transformative. You will work at the centre of IT leadership, serving as a key liaison across the university and enabling the delivery of reliable, secure, and scalable technology services that support education, research, and health domains.

About the Role

MQIT is undergoing an exciting period of strategy renewal including a new structure, rebrand, and rebuild of the technology offerings and digital transformation across the University. This position sits within MQ IT, reporting directly to the Chief Information and Digital Officer within the Division of Vice-Chancellor People & Operations. MQIT serves as a strategic partner to the University, and this role is central to ensuring the CIDO can focus on high-level strategic priorities while maintaining effective operations, stakeholder engagement, and project delivery.

This role offers a unique opportunity to shape the future of digital services at Macquarie University and work at the intersection of technology leadership, university governance, and strategic transformation. The Executive Officer will work closely with the CIDO and Directors to support strategy, coordinate operations and reporting across the portfolio. You will:

* Provide high-level executive support to the CIDO and coordinate IT input for key university activities including reporting and departmental risk profiles

* Plan, coordinate, and prepare regular executive packs, reports, and presentations for University Council (including but not limited to cybersecurity, disaster recovery, and projects) as well as ad hoc presentations for internal and external stakeholders including for conferences

* Prepare, draft, manage, and coordinate high-level communications and correspondence including briefings, reports, submissions, and notes to ensure comprehensiveness, accuracy, and timeliness of written information and presentations for Executive Group

* Monitor and report on strategic, operational, and project plans to inform decision-making and support achievement of organisational objectives

* Act as the executive point of contact, liaise with stakeholders, and action requests to coordinate communication and proactively ensure responses meet deadlines

* Collaborate with key internal stakeholders including legal, finance, procurement, HR, marketing, and various executive offices to coordinate, monitor, and support MQIT strategic initiatives and reporting

* Research, analyse, and report on IT trends, policies, and practices both within and external to the University with the aim of improving IT cross-functionality and service delivery

* In conjunction with the CIDO, manage and oversee the IT Operating Budget and prepare strategic advice, information, and reports on diverse and complex policy, planning, and operational matters to facilitate informed decision-making and planning

* Provide issues management and support, responding to emerging issues to ensure effective resolution with minimal risk to the organisation

* Lead, research, and contribute to projects to support the achievement of organisation-level strategic and operational objectives

* Support the CIDO with various team building and culture development initiatives and events to help build camaraderie and a high-performance culture in MQIT

* Develop and oversee the implementation and evaluation of administrative practices, systems, and procedures to optimise efficiency and support the achievement of quality outcomes

About You (Selection Criteria)

* You will have a qualification in Business or related field and/or equivalent experience

* Demonstrated experience in providing high-level executive support, ideally within Higher Education

* Experience working in matrixed organisations, communicating complex information to a range of audiences, and coordinating multiple initiatives simultaneously

* Advanced communication skills including researching, extracting, and summarising key information from a variety of sources, report writing, responding effectively to internal and external stakeholders, and creating presentations (PowerPoint etc.)

* Proven capability in writing reports and proposals

* Skilled in building, developing, and managing effective relationships with internal and external stakeholders across all levels of the organisation

* Experienced in the delivery of high-quality reports and submissions for executives, senior management, governance bodies (including University Council), and external bodies

* An advanced understanding of governance, policy, and procedural frameworks

* An understanding of Australian Higher Education

* Experience analysing and reporting on data

* Demonstrated ability scoping and coordinating projects

* Demonstrated experience in exercising diplomacy and appropriate judgement when involved with matters of a highly confidential and/or sensitive nature

* Demonstrated experience in identifying and implementing improvement initiatives

* Excellent communication and influencing skills across a diverse group of stakeholders

* Experience developing and revising policies and procedures

* Advanced computer skills including Microsoft Office, databases, internet, and email applications

Desirable Experience

* Experience working directly with C-suite executives in technology, higher education, or government sectors

* Familiarity with IT governance frameworks, digital transformation initiatives, or technology project portfolio management

* Knowledge of University governance structures including Academic Senate and Council processes

* Experience with change management and stakeholder engagement in complex organisations

* Experience supporting culture development and team building initiatives in professional services environments
