About the Role
You'll play a key role in supporting maintenance operations, ensuring smooth workflow, accurate documentation, and strong communication across departments. This position is hands-on, detail-focused, and essential to keeping maintenance activities running efficiently.
MUST Haves:
* Previous Maintenance Administration experience
* Proficiency in reporting, data entry, and document control
* CMMS experience highly regarded
Key Responsibilities
1. Maintenance Planning & Coordination
* Create, update, and close work orders in the CMMS
* Coordinate with planners, supervisors, and trades to schedule maintenance
* Monitor planned vs. unplanned maintenance activities
2. Documentation & Record Keeping
* Maintain accurate job cards, service histories, and maintenance records
* Ensure compliance documentation is current (inspections, certifications, statutory checks)
* Manage digital filing of reports, manuals, and drawings
* Prepare audit-ready documentation for internal/external reviews
3. Parts, Inventory & Procurement Support
* Maintain inventory databases for parts, tools, and consumables
* Track orders, deliveries, and backorders
* Liaise with warehouse, procurement teams, and suppliers
* Assist with stock control and reconciliation
4. Reporting & Data Management
* Generate reports on downtime, backlog, costs, and KPIs
* Capture and analyze maintenance data to identify trends
* Update dashboards and spreadsheets for management
* Ensure accuracy of equipment hours and service intervals
5. Safety, Compliance & Systems Support
* Ensure work orders include correct safety documentation (JHAs, permits, isolations)
* Support compliance with mine safety regulations and site standards
* Assist with incident, defect, and hazard reporting
* Maintain training and competency records for maintenance personnel
6. Additional Site Administration
* Track timesheets, labour hours, and contractor costs
* Coordinate accommodation, site access, and mobilisation
* Maintain contractor compliance records
* Act as a communication link between maintenance, operations, and other departments
* Support supervisors and HD Fitters with admin tasks
