Our office is seeking an Office Manager and Accounts Assistant to support our day-to-day activities. You will be responsible for overseeing general office operations, ensuring smooth functioning, and maintaining accurate records.
Key Responsibilities
* Oversee general office operations and ensure smooth day-to-day functioning.
* Maintain office facilities and equipment, ensuring routine maintenance is carried out.
* Process invoices and maintain accurate accounts payable records.
* Utilise accounting software for financial record management and reporting tasks.
* Reconcile company credit cards and expense claims.
* Collate, review, and process monthly timesheets.
* Verify and maintain correct supplier details and payment information.
* Assist with end-of-financial-year reporting obligations.
* Prepare, edit, and format reports and correspondence.
* Monitor compliance requirements and follow up as needed.
* Maintain organised filing systems for documents and records.
* Assist with onboarding processes and pre-employment checks.
* Maintain HR files, including leave tracking and reporting.
* Monitor and follow up on mandatory team training obligations.
* Provide ad-hoc administrative support to senior staff, including minute-taking when required.
What We Are Looking For
* Minimum 2 years' experience in office administration with some exposure to the accounts function.
* 1-2 years experience in accounts payable processes and procedures.
* Strong proficiency in Microsoft Office (Word, Excel, Outlook).
* Excellent organisational and time management skills.
* High attention to detail and accuracy in financial and administrative tasks.
* Strong communication skills and a proactive approach.
* Ability to work independently and manage multiple priorities.
