Personal assistant to the school Principal

Key Responsibilities
* Administrative Support
o Manage workflow and coordinate the daily schedules, appointments, and meetings of the Principal.
o Oversee the development of the College Calendar.
o Provide administrative support to the Principal, including document preparation, filing, and record management.
o Prepare and organize documents, reports, and presentations as required.
o Handle confidential correspondence and maintain secure filing systems.
o Screen and direct phone calls, emails, and inquiries to appropriate personnel.
o Work closely with the Principal to keep him informed of upcoming commitments and responsibilities, including school compliance requirements and following up appropriately.
o Welcome College visitors with openness and always aim to best meet their needs.
o Use discretion and judgement in the absence of the Principal to manage or refer urgent or confidential matters to the appropriate Senior Staff members.
o Other duties as directed by the Principal.
* Communication
o Act as the first point of contact for internal and external stakeholders.
o Employ high‑level communication skills to draft, proofread, and distribute correspondence on behalf of the Principal.
o Ensure effective communication between the Principal and the broader community.
o Prepare agendas and record and disseminate minutes of meetings in a timely manner with acute attention to file maintenance and details.
o Build and sustain positive relationships with staff, parents, students and other members of the college community.
* Event Coordination
o Assist in planning and coordinating school events, meetings, and special functions.
o Book rooms, equipment, travel and accommodation.
o Manage logistics, including venue bookings, catering, and resource preparation.
* Policy and Compliance
o Support the Principal in ensuring compliance with school policies, procedures, and relevant legislation.
o Uphold and promote the Islamic ethos and values of the school in all interactions and responsibilities, and ensure the confidentiality and privacy of members of the College community is respected.
Key Selection Criteria
Experience and Skills
* Proven experience as a Personal Assistant or in a similar administrative role involving exercise of discretion, tact, and judgement.
* Excellent written and verbal communication skills, with superior English grammar, spelling, literacy, and a high level of proofreading ability.
* Strong organizational and multitasking abilities with attention to detail. Excellent time‑management skills.
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Adobe, Google Suite and other relevant software.
* Ability to manipulate data, run reports and develop visualisations from a database, and use web‑based applications to post news.
Interpersonal Skills
* Ability to work collaboratively with diverse stakeholders and identify areas in operating systems that require change.
* Professionalism, discretion, and confidentiality in handling sensitive information.
* Ability to cope with constant interruptions within a student‑focused environment and remain calm under pressure.
Other Requirements:
* A valid Working with Children Check.
* Current First Aid and CPR certification.
* Compliance with any additional state or territory‑specific requirements for student support personnel.
