About the role
The Community Activation and Event Coordinator (CAEC) is an integral part of the Communications team utilising your local knowledge and practices being responsible for distributing event and campaign material in local communities building rapport with current stakeholders and expanding our stakeholder engagement. Event Coordination requires a creative, business-driven mindset whilst building lasting relationships with stakeholders, venues and suppliers the team member will be responsible for planning, organising managing, coordinating, and evaluating various types of events.

Extensive administration and governance are pre-requisites underpinned by a willingness to adapt to challenges and opportunities and to advocate a positive and constructive organisational culture.
It is a requirement that the incumbent is of Aboriginal &/or Torres Strait Islander descent or identify and be accepted as such by the community.QIFVLS claims an exemption under ss.25, 104-105 of the Anti-Discrimination Act 1991 as recognized and granted by the QLD Industrial Relations Commission.
Duties and responsibilities include but are not limited to:
* Provide support to QIFVLS offices in planning events, including developing ideas in a culturally appropriate manner
* Attend QIFVLS' city and regional office events across Queensland where practical
* Liaise, project manage and negotiate with suppliers, venues, catering and travel providers for events
* Book venues, schedule guests, draft and finalise contracts, including the days logistics
* Handle day-to-day administration of events and programs, including order placements, vendor monitoring, travel planning, attendee participation, registration set up, catering, audio/visual, RSVP tracking, and issues resolutions
* Photograph events and activities as required
* Assist with posting social media content
* Liaise with stakeholders on events and campaigns, supplying them with communications material (both digital and physical) for presentation at their premises and within their local community.
* Assist the Communications Officer in the distribution of campaign material to communities, including regional community visits
* Manage the no2dv webstore and fulfill orders
* Provide timely event evaluation results and present reports
Essential Skills
* Experienced in event planning or event coordination in a corporate environment
* Proven track record of creative, successful events
* Have higher administrative skills
* Public relations experience is desirable
* Experience working within First Nations communities
* Experienced in working with colleagues in graphic design, marketing, and communications
* Excellent organisational, communication, negotiating, and multi-tasking skills
* Ability to remain calm under pressure and maintain a customer-service mindset
* Experienced and highly capable in MS Excel, Word, PowerPoint, Outlook and Teams
* Proficient on social media platforms, particularly Facebook and Instagram
* Proficient in photography to a good social media standard
* Be a self-starter, able to suggest events and activities without instruction and drive projects without direction
* The ability to travel on an as needs basis

Desirable tertiary qualifications in communications, events management, Diploma of Event Management and or the Advanced Diploma coupled with demonstrated experience to fulfil the requirements of the roleincluding the opportunity to work towards these qualifications with the support of QIFVLS
Compliance
* Holder of a current open Queensland driver's license.
* Holder of a Working with Children Blue Card, or the ability to obtain one.
* Willingness to undertake a National Police Clearance check.
* Willingness and ability to travel is a core requirement of this position.
A cultural appreciation/understanding of Aboriginal and Torres Strait Islander people is essential or having worked previously with Aboriginal and Torres Strait Islander clients would be advantageous.
