What's on Offer
x2 Fixed term (parental leave replacement) opportunities available.
These include supporting General Managers in the following divisions:
Corporate Functions: Customer Contact and Distribution and Marketing
Service Delivery Functions: Roadside Delivery and Commercial Finance
You will have a chance in the screening questions to put forward your preference if you have one.
Both positions are Full Time with hybrid working arrangements – 3 days in the Sydney Olympic Park/ City offices (ideally Tuesday, Wednesday, Thursday).
What You'll Do
Provide high-level administrative and organisational support to the General Manager (GM), ensuring the smooth coordination of activities and achievement of business objectives.
Manage busy and changing diaries, schedule meetings (including for the GM's direct reports and business partners), and coordinate travel arrangements and logistics.
Prepare and distribute meeting agendas, presentation packs, reports, and ensure all briefing materials are collated and uploaded to SharePoint.
Monitor and maintain the GM's email, responding where appropriate and highlighting urgent matters.
Assist in preparing submissions for Board, GEC, and Steering Committees.
Liaise with direct reports and business partners to ensure effective communication and workflow.
Maintain and develop systems and procedures for team efficiency, including leave processing, contract signing, onboarding/offboarding, and induction programs.
Organise and coordinate meeting rooms, attendee lists, and online platforms; manage meeting logistics including minute-taking and follow-up of action items.
Prepare and submit expense reports, facilitate budgetary processes, and assist with invoice processing and credit card applications.
Support special projects such as employee milestones, SharePoint file management, Microsoft Teams administration, and mentoring colleagues.
What You'll Bring
Ideally at least 5+ years' experience in high-level executive support roles and/or heavily administrative support functions.
Highly developed computer skills, with in-depth knowledge of Microsoft Office applications.
Proven ability to develop and maintain effective business partnering relationships with diverse stakeholders.
Excellent verbal and written communication, influencing, liaising, and presentation skills.
Solid time management and organisational skills, with the ability to prioritise competing projects and meet deadlines, along with influencing the behaviour of others to do the same.
Sound analytical and problem-solving skills, while driving initiative.
Demonstrated ability to maintain confidentiality and handle sensitive information appropriately.
