Where will you be working: Are you an organized and personable medical secretary looking to work in a supportive and professional specialist practice? We are looking to appoint an experienced senior medical secretary on a part time basis 4 days a week. This role is a job share and will see you join an existing long standing part time medical secretary, a highly regarded Surgical Specialist and the wider team. In this role, you will be the first point of contact for patients providing high-level administrative and secretarial support in a specialist medical setting. You will be responsible for ensuring the smooth day-to-day running of the practice. What you will be doing Be the first point of call for patients and visitors Booking surgical procedures with the hospital & collaborating with the appropriate surgical team ie: anesthetist, assistant surgeon, theatre, hospital bookings, bed managers etc Managing doctors busy 4-week rotation schedule and knowing his consulting days and operating days Reporting & communicating with doctors efficiently – eg: Having an understanding of critical symptoms or complications that need attention Able to triage or categorize patients’ requests or needs in a timely manner. And to differentiate between critical and non-critical request Managing doctors Allied health’s schedules & appointment books & keeping them up to date with their schedule Preparing Surgical procedure quotes & Hospital Quotes for Insured & Uninsured patients Booking Theatre – sending ARF’s (Admission Request Forms) and consent forms to the hospital. Ensuring these Admission forms have accurate patient details ie: patient needs ICU, cease anti-inflammatories etc Creating Theatre lists – ensuring the patients are in the correct order as doctor has requested & ensuring all patients details are accurate Keeping patients well informed in preparation for surgery & making relevant post op appointments Organizing relevant tests for patients What we are looking for: You will have a minimum of 5-7 years in a similar role. Experience in Genie medical software & Eclipse & Medical Objects is advantageous Having an understanding of basic surgical procedures and medical terminology is desirable Being able to read & respond to different scenarios or difficult scenarios in an efficient, empathetic & calm manner. Able to multi-task and run multiple clinics per day Excellent phone manner – taking detailed notes and messages Pleasant, warm, empathetic manner Works well in a team.
