Flex Physiotherapy, based at the St John of God medical clinic in Murdoch, is seeking an experienced part time Administration Manager / Office Manager (approx. 3 days per week, negotiable). The successful applicant will be responsible for overseeing the administrative and business operations of the practice. This role includes managing admin staff, overseeing finances, ensuring compliance with relevant regulations, and ensuring smooth day-to-day operations. The Administration Manager works within defined policies and procedures, ensuring all tasks are carried out professionally and in line with Fair Work legislative requirements.
This role does not include clinical decision‐making, direct patient care, or tasks outside the scope of administrative and operational management.

Key Responsibilities
* Oversee daily operations – ensure everything runs smoothly, efficiently and safely
* Policy / procedure development, maintenance and improvement
* Completing BAS/IAS and other ATO requirements
* Completing fortnightly Payroll (incl super, leave, ATO requirements etc) in Xero
* Other accounts management and book‐keeping tasks as required
* Support staff in handling complex or difficult patient interactions or complaints
* Oversee and supervise reception/admin team members, including training, support, operational compliance and performance management as needed
* Support clinical staff, including rostering (in PracSuite), workflow, caseloads, wellbeing, engagement and professional development
* Coordinate leave requests and approvals, including leave cover arrangements and roster changes
* Assist with recruitment / interviewing of new staff, especially admin team members
* Coordinate onboarding of new staff to the team
* Keep performance/KPI dashboards accurate and up-to-date
* Ensure compliance with workplace health / safety policies and legislative requirements
* Initiate, support and participate in risk management and QI initiatives as needed
* Promote a positive, respectful, and professional workplace culture
Preferred Experience and Qualifications
* Healthcare industry administration experience is preferred for this role
* Experience working with Xero or an equivalent program is essential for this role
* Experience with PracSuite practice management software is preferred but not essential
* Experience and training in using Microsoft Excel is desirable but not essential
