Part-Time Operations Manager
This is a key role that plays a vital part in keeping the studio running smoothly. You'll be responsible for ensuring financial processes are accurate, timely and efficient.
Key Responsibilities
* Lead monthly WIP balance sheet reconciliation review to maintain high-quality revenue tracking data.
* Investigate discrepancies and chase missing purchase orders (POs) to ensure accuracy.
* Validate all outgoing invoices before submission to clients to avoid any errors.
* Manage the credit and re-issuance log with precision and attention to detail.
* Liaise with internal teams to support billing operations and project KPI tracking.
* Oversee client and intercompany invoicing activities to ensure alignment with project timelines.
* Ensure billing templates and project data are accurate in NetSuite.
* Conduct overrun reporting and assist in project KPI tracking to drive business growth.
Cash Flow & Month-End Support
* Align cross-sell and resource share costs with corresponding revenue for monthly close.
* Confirm IC invoices are correct per SOWs and flag variances to PMs to ensure timely resolution.
Office Management Duties
* Manage postal mail, laundry service, fruit box delivery, and council bin schedules to maintain a smooth office environment.
* Liaise with landlords and cleaners to ensure the office is clean and well-maintained.
* Support ad hoc maintenance tasks such as air con, pest control, OH&S, etc.
* Daily restocking of fridge and snacks, managing dishwasher and coffee machine upkeep.
* Weekly shopping orders (online and in-store).
* Monthly coffee supply and machine maintenance
* Ensure rooms are clean and equipped (whiteboards, water, glasses).
* Restock and maintain bathroom supplies.
Requirements
* Finance or operations experience in a digital, creative, or professional services agency is highly valued.
* Exceptional attention to detail and a strong sense of ownership are essential.
* Strong communication and coordination skills are required to work effectively with global teams.
* Experience juggling multiple tasks with competing deadlines is necessary.
* A positive, can-do attitude with a willingness to pitch in wherever needed is a must.
Hours & Flexibility
* This is a part-time role (3–4 days per week) with hybrid flexibility.
* Some physical presence in the Melbourne office is required.
