ABOUT THE ROLE
As our Studio Coordinator, you’ll be the operational heart of the studio.
You’ll move between marketing, client relations, administration, events, digital software, financial statements and reports, and culture ensuring everything runs smoothly while helping us grow and evolve.
Some days you’ll be coordinating an awards submission or preparing digital assets. Other days you’ll be refining marketing campaigns, welcoming clients, managing studio operations, or supporting Directors with strategic initiatives.
This is a dynamic role with genuine opportunity for professional growth and ownership.
KEY RESPONSIBILITIES
Marketing & Communications
* Schedule and manage social media across platforms
* Help shape and implement marketing direction
* Keep our website current and engaging
* Develop campaigns and business development initiatives
* Prepare graphic design collateral for internal and external use
* Assist with award submissions and studio promotion
Client Experience
* Be the friendly first point of contact for clients and visitors
* Manage general inbox enquiries with professionalism and efficiency
* Reception duties and call handling
* Ensure meeting spaces are welcoming and well presented
Studio Operations
* Coordinate events, travel, photoshoots and industry functions
* Maintain project files, systems, registrations and studio records
* Facilitate meetings: agendas, minutes, bookings and follow-ups
* Manage timesheets and leave tracking (Total Synergy)
* Oversee office supplies, groceries and studio presentation
* Assist with HR/OHS compliance and onboarding new team members
* Monthly credit card reconciliation
* Support Directors with ad-hoc operational and strategic tasks
ABOUT YOU
We’re looking for someone who:
* Has 3+ years’ experience in administration, customer service or studio coordination
* Graphic design capability (Adobe Creative Suite, particularly Illustrator and Indesign)
* Marketing or business experience
* Communicates confidently and professionally
* Is highly organised and thrives managing competing priorities
* Is proactive, solutions-focused and calm under pressure
* Has strong computer literacy and can quickly learn new systems
* Brings a positive, can-do attitude to the team
Highly Regarded:
* Financial or HR administration experience
* Experience with Total Synergy or other related project-based software
* Understanding of the Architecture & Construction industry
