We have an exciting opportunity for an experienced, highly capable Administration and Operations Manager to join our growing group of businesses operating across south East Queensland.

This role is not a junior admin position, We are looking for someone who can take ownership, improve systems, manage key functions, and support business growth across multiple entities.

You will work closely with the directors and act as a central backbone of our operations ensuring accuracy, efficiency and forward momentum.

About the Role

This is a senior administration role suited to someone who thrives in a fast-paced environment and enjoys wearing multiple hats across finance, payroll, systems, scheduling, clients, and growth initiatives.

You will be trusted to run with responsibility, make decisions, and continually improve how the business operates.

Key Responsibilities

* Oversee day-to-day administration and operations across multiple businesses
* Payroll processing, compliance, superannuation, and award interpretation
* Full use and management of Xero (invoicing, reconciliations, reporting support)
* Cashflow tracking and cashflow projections
* Client communication, correspondence, and relationship management
* Crew scheduling, job planning, and coordination using project management software
* Preparation, collation, and submission of tenders and applications (Council & corporate)
* Document creation, formatting, and management (Word, Excel, internal systems)
* Implement and manage AI tools to improve efficiency and productivity
* Assist with marketing support including Canva-based materials
* Identify and support process improvements and growth opportunities

About You

To be successful in this role, you will need to be highly organised, proactive, and commercially minded, with the confidence to work autonomously and take responsibility.

You will ideally have:

* A qualification in Business Management, Commerce, Accounting, Marketing Finance, or similar
* Strong, proven experience with Xero and payroll
* High-level written and verbal communication skills
* Strong capability with Word, Excel, and digital systems
* Experience using AI tools to support business operations (ChatGPT, automation tools, etc.)
* Experience using Canva or similar for marketing support
* The ability to prioritise, problem-solve, and work under pressure
* A mindset focused on accuracy, accountability, and continuous improvement
