Administrative Officer (Transport Company)
The Administrative Officer is responsible for supporting daily office operations, coordinating transport documentation, and ensuring compliance with industry regulations.
Key Responsibilities - Administration & Office Support
* Answer phone calls and respond to emails
* Prepare and manage invoices, purchase orders, and delivery dockets
* Maintain accurate filing systems (digital and hard copy)
* Data entry and record keeping
Transport & Operations Support
* Assist with driver scheduling and job allocation
* Maintain driver records, licenses, and inductions
* Support NHVR compliance documentation and reporting
* Track vehicle registrations, servicing, and maintenance schedules
Accounts & Payroll Support
* Process accounts payable and receivable
* Assist with payroll preparation (driver hours, overtime, allowances)
* Follow up outstanding payments
Client & Supplier Communication
* Communicate with customers regarding bookings and delivery updates
* Manage booking confirmations and transport documentation
Skills & Requirements
* Previous experience in administration (transport industry preferred)
* Strong communication skills
* Good knowledge of Microsoft Office (Word, Excel, Outlook)
* Ability to multitask and work under pressure
* Basic understanding of transport compliance (NHVR knowledge desirable)
Working Hours
* Full-time
* Monday to Friday
Job Type: Full-time
Pay: $25.00 – $32.00 per hour
Expected hours: 38 per week
