DIRECTORATE OVERVIEW
The Chief Minister, Treasury and Economic Development Directorate (CMTEDD) leads the public sector and works collaboratively both within government and with the community to achieve positive outcomes.
BUSINESS UNIT OVERVIEW
The Corporate - Fleet Facilities and Support Team (C-FFS) supports two CMTEDD managed multi-Directorate tenanted office facilities with a combined footprint of 2250 work points, along with the operational support to the ACTGOV program 'FlexiSpace' office environments (seven sites).
C-FFS is also the central coordinating and subject management expert (SME) for CMTEDD leased vehicles (40), as well as undertaking a range of emergency management and WHS governance functions across the wider CMTEDD facilities environments.
As the facilities SME within CMTEDD Corporate, C-FFS also undertakes ad hoc facilities tasking relating to the wider CMTEDD facilities portfolio
POSITION OVERVIEW
The Facilities and Systems Support Officer is responsible for providing support to the Facilities Support Team through assistance in completing tasks relating to systems operation and maintenance. The role will also include facilities support including facilities maintenance and repairs, accommodation services, procurement, project management, sustainability reporting and administration in relation to fleet matters.
The successful applicant will have sound customer service experience and will work collaboratively with all occupants of the Facilities Support Team to assist in the delivery of high-quality service from the team.
WHAT YOU WILL DO
* There is a manual handling risk associated with this position. Operating procedure instructions, training and safety equipment will be provided. Applicants should ensure that they are comfortable lifting and moving up to 10kgs.
* Deliver high-quality customer service and support for staff in an activity based working environment through:
* Administrative tasks such as, but not limited to:
* Operation and maintenance of various systems used in the running of the various sites including systems improvement. Systems include Locker management, Security Passes, Work point/Workspace booking, Invoice processing, Fleet management and vehicle booking plus other associated systems
* Undertake policy, program and project work involving research and analysis, implementation and evaluation as required
* Coordinating of responses and addressing enquiries through the various Facilities Support email inbox's
* Purchasing of minor goods and services
* Coding of invoices in APIAS (accounts payable system)
* Backup support to the site Information Desks, such as to sign-in or escort visitors
* Coordinating the maintenance of relevant registers
* Facilities tasks such as, but not limited to:
* Assist the Facilities Support team where and as required
* Support the implementation of various sites Security and Emergency Management Plans and procedures
* Liaise with ACT Property Group as required
* Assisting staff in the use of AV equipment such as Webex Boards, Projector screens
* Coordinate and assist with the setup of stage and audio equipment for larger functions
* Facilities walk through and inspections (checking condition of meetings and resource rooms, other workspaces and common areas)
* Coordinating and assisting with End of trip and Kitchen stocktake and restock.
* Work Health and Safety tasks such as, but not limited to:
* Assisting with Workplace inspections
* Changing layout of desks, chairs and operable walls in large meeting rooms to match the meeting type. This is a trained task and completed by the team instead of staff to manage manual handling risk.
* Incident and emergency management assistance and reporting
* This position does not involve direct supervision ofstaff.
WHAT YOU REQUIRE
The following capabilities form the criteria that are required to perform the duties and responsibilities of the position as described in the ACT Government Work level standards.
Professional / Technical Skills and Knowledge
* Experience in facilities maintenance or infrastructure project administration and governance and/or delivery, or the proven ability to quickly learn and acquire new skills and learn and grow into the role of the Facilities and System Support Officer position.
* Strong computer systems skills including Microsoft Excel and full office suite and the ability to develop those skills.
* Ability to process government records in accordance with policy and procedures.
* Ability to provide a wide range of administrative support functions in a timely and organised manner.
* Ability to develop and improve administrative systems and processes to track and coordinate workflow to support a busy high performing team.
Behavioural Capabilities
* Well-developed administrative, planning and coordination skills, including the ability to handle confidential material with discretion and meet deadlines in a calm and efficient manner.
* High level communication skills, both written and verbal.

Eligibility/Other requirements:
* Background / Security clearance checks will be conducted.
* This role requires or the ability to achieve a Negative Vetting 1 (NV1) Australian Government security clearance.
* Australian Citizenship.
* Driver's license "C" Class is essential.
Notes: This is a temporary position available immediately for a period of up to six months with the possibility of extension up to 12 months and/or permanency.
A merit pool will be established from this selection process and may be used to fill vacancies over the next 12 months. Selection may be based on application and referee reports only.
This position is located in a workplace designed for activity-based working (ABW). Under ABW arrangements, officers will not have a designated workstation/desk.
