Primary objective
Provide comprehensive, confidential, high level administrative and operational support to the Policy, Strategy and Insights (PSI)
division Executives and their teams including office support and stakeholder engagement for efficient and effective functioning of
the Northern Australia Development Office (NADO) facilities.

Context statement
The Department of Trade, Business and Asian Relations is focused on driving investment and trade opportunities through
international engagement. It also plays an essential role in driving workforce development to support business. PSI works across
industry and government to drive economic development and regulatory reform initiatives. This includes undertaking economic
analysis to ensure the business environment remains competitive and effective, advocating for the Territory’s interests and
supporting population and migration policy to unlock the Territory’s workforce needs. The NADO facility provides high-quality
office and meeting spaces that serve as hubs for industry, the private sector and government engaged in strategic development
across the region.

Key duties and responsibilities
1. Coordinate and deliver efficient day-to-day operations of NADO, organising and overseeing facility related works, meeting

room bookings and stakeholder support services to ensure a safe, functional and responsive working environment.
2. Ensure the effective management of facilities’ contract services including building maintenance, security, cleaning, waste

management and stationery.
3. Provide collaborative administrative support within the Policy, Strategy and Insights division, providing executive level

assistance, delivering accurate word processing, proactive diary and email management, travel arrangements and professional
reception services.

4. Foster and maintain productive working relationships across the agency and with external agencies, facilitating clear
communication and collaboration to support the smooth and efficient operations of the agency’s activities.

5. Ensure the secure management of confidential and sensitive information, maintaining compliant controls over records and
documentation in accordance with government policies, security requirements and records management standards.

Selection criteria
Essential
1. Experience in facility operations and office administration, including provision of high level of customer service and sound

working knowledge of asset management, property leasing procedures and corporate services functions.
2. Proven successful experience providing administrative support; demonstrating attention to detail, sound judgement, discretion,

confidentiality and the ability to exercise tact and diplomacy.
3. Demonstrated ability to operate in a high-volume, fast-paced environment with well-developed organisational and time

management skills, including the ability to prioritise competing demands, work independently with minimal supervision and
deliver outcomes within established timeframes.

4. High level of initiative, self-management and ability to respond to changing priorities and meet deadlines under pressure.
5. Sound knowledge in government systems and administrative frameworks, including records management, governance

requirements, procurement and contract management practices, and financial administration including accounts payable
processes or the ability to obtain quickly.

6. Well-developed interpersonal, oral and written communication skills, with the ability to engage effectively with stakeholders
and a demonstrated ability to communicate professionally and effectively at all levels and with people from diverse backgrounds
to provide clear advice and support.
