We specialise in helping clients achieve their financial goals through strategic property investments backed by research and insights.Our team is dedicated to delivering exceptional results and exceeding client expectations by leveraging cutting-edge technology, streamlined processes, and a relentless commitment to service excellence.About the roleAs a Settlement Support Co-ordinator, you will take over the client relationship from the moment our Acquisitions Team exchanges on a property. Your role is to ensure a seamless, high-touch settlement experience, managing from exchange to post-settlement major milestones, including aftercare and ensuring clients feel supported through the process.Initially reporting to the Head of Acquisitions & Operations Manager, your primary responsibilities will include coordinating all aspects of the purchase process, including a preliminary review of contracts prior handover to the legal representative for our client, organising third party inspections, managing required works, liaising with brokers, solicitors, property managers, quantity surveyors, inspectors and ensuring a smooth transition from purchase to tenancy.By owning this critical phase, you will enable the Senior Property Acquisitions Analysts (SPAAs) to focus solely on sourcing and securing properties, while ensuring our clients experience an exceptional level of service post-purchase.Core ResponsibilitiesYou will take ownership of the entire settlement process, ensuring clients have a stress-free and well-managed experience.Manage Pre-Settlement Process: Own all milestones from exchange to settlement, coordinating between clients, their team, and InvestorKit.Contract & Documentation Management: Ensure the timely distribution, tracking, and compliance of contracts and all associated paperwork.Deposit Coordination: Track and support with deposit payment details, alongside timely payment in line with key contract terms via all necessary parties.Insurance support : We aren’t insurance advisors, however many questions pop up and information is required for clients to adequately take out insurance. Proactive assistance will be required to ensure this is smooth for our clientsInspection & Work Coordination:Organise building & pest inspections(P&B) and pre-settlement walkthroughs.Analyse Building & Pest reportand present findings to SPAA for review.Ensure all clauses are satisfied and negotiated works are completed to the right standard before settlement.Finance Support: Communicate with brokers and lenders to ensure timely finance approval to satisfy finance clauses in a timely manner.Rental Campaign Coordination: Work with property managers to ensure timely leasing of the property post-settlement.Depreciation Schedule Coordination (if required): Assist clients in organising depreciation reports for investment properties.Client Engagement & Communication: Ensure clients are updated proactively and regularly, both from your end and on behalf of the SPAA maintaining clarity and confidence throughout the process.CRM & Portal Management: Maintain 100% accuracy in CRM data, ensuring all interactions are recorded and responses are timely and professional.Long-Term Client Support: As the business evolves, this role will also support clients post-settlement by working alongside Portfolio Strategists when needed.Key BehavioursTo be successful in this role, you should demonstrate:Client-Obsessed: Ensuring a seamless and stress-free experience for every client, from purchase to settlement.Proactive & Organised: Staying ahead of timelines, anticipating roadblocks, and resolving issues before they arise .Strong Stakeholder Management: Liaising effectively with brokers, solicitors, rental agencies, and internal teams.High Attention to Detail: Ensuring all contracts, documents, and financials are accurate and compliant.Autonomous Decision-Making: Confidently making client-first decisions while staying within InvestorKit’s framework.High-Level Communication Skills: Clear, professional, and proactive communication with clients and stakeholders.Ethical & Trustworthy: Maintaining the highest level of integrity in all client interactions.Resilient & Adaptable: Able to handle a high volume of transactions and prioritise effectively.Experience with real estate personally or professionally. If not in the real estate sector directly, supporting industries will also help considered e.g finance, legal, construction. Essentially, real estate transaction or management support experience is essential.Key Performance Indicators (KPIs)Quantitative KPIs:Net Promoter Score (NPS): Maintain an NPS of 80+, reflecting high client satisfaction.Reviews: Minimum of half (50%) your clients purchased to leave a Google testimonial, maintaining a 5/5 service rateResponse Times:Have a 100% same-day response rate for client inquiries during business hours90% of settlement milestones completed ahead of deadlines.CRM Accuracy: Maintain 100% accuracy in CRM records and client interactions.On-Time Settlements: 90% of settlements occur on schedule, with no preventable delays.(Target) Minimum settlements: Must support a minimum of 25 settlements per monthQualitative KPIs:Client Communication: Demonstrate clear, proactive, and empathetic client communication throughout the process.Impact Score: Maintain Good status or aboveStakeholder Coordination: Ensure seamless collaboration between InvestorKit, brokers, solicitors, property managers, and other professionals in the purchasing journey.Problem-Solving & Issue Resolution: Anticipate challenges and ensure that 100% of issues are proactively managed before they escalate.Process Adherence & Improvement: Follow InvestorKit’s structured settlement processes while identifying and implementing efficiency improvements.Impact Score: Must maintain a score of GOOD or above on the magnitude of impact scale.Renumeration and Bonus$65,000-$75,000 base (Based on experience) + commissions + super OTE of $105kIf you are a results-oriented individual with a passion for property and helping clients achieve their goals through Real Estate, we invite you to apply for this exciting opportunity.
