City of Hobart - Governance Officer

The Opportunity:

McArthur is seeking a part-time Senior Administration Officer - Governance, who will provide administrative support to the Legal and Corporate Governance Unit. This is a great opportunity to support our local government client.

This is a great temporary opportunity for 3-months with a high possibility of extension. Our client is in a fantastic location walking distance from the Dock, offering part-time hours with a casual rate of $45.34ph + Superannuation.

Key Responsibilities:

* Execute the distribution of elected member communications via the Hub, through the preparation of the elected member bulletin and the preparation of documentation required for the operation of Council and Committee meetings including the binding and archiving of meeting papers.
* Provide administrative support to other members of the Unit and establish and maintain key linkages and liaison with other areas of Council to ensure a high quality and consistent approach to service delivery and the application of corporate-wide policies, procedures and administrative requirements within the Client Division.
* Provide administrative support in the recording of contracts and documents signed under the common seal of the City. Group
* Support the functions of the Legal and Corporate Governance Unit through the provision of an appropriate level of administration to facilitate best practice good governance of the range of activities undertaken within the Unit together with high level customer service skills for a diverse external and internal client base.
* Prepare well-structured correspondence and emails within established corporate guidelines and compile agendas and minutes for internal meetings.
* Prepare the Lord Mayor's 'marked up' copy of the Council Agenda and prepare the Council Agenda using InfoCouncil templates.
* Provide administrative support in the preparation of responses to Right to Information Requests. Organise advertising and catering for Council and Committee meetings and workshops.
* Assist with the preparation of responses to public questions in accordance with established processes.
* Maintain the Unit procedures manual and assist in maintaining the organisations Delegations Registers and Council Policy Manual.
* Maintenance of governance information on Council's website and internal intranet and the development, administration and support of governance systems such as Council Hub and InfoCouncil.
* Maintenance of databases and assistance in the implementation of processes specifically relating to management of Council's elected representatives, including the processing and reporting of Elected Member expenses and the retention of correspondence for audit purposes.
* Capture the second minutes for Committees as required and provide back up to the Governance Officer function as required.

Selection Criteria:

* Demonstrated experience working within a diverse organisation and in the delivery of quality administrative support to a range of stakeholders.
* An understanding of the operation of local government and the capacity to work in a political environment.
* Demonstrated ability to interpret financial and management reports and information.
* Demonstrated commitment to principles of quality, improvement and excellent customer service and the ability to engender the same in others.
* High proficiency in the use of word processing and formatting, spreadsheets, website content management systems, software and database applications.
* Ability to plan, adapt and recognise changing priorities in a high-volume work environment, producing accurate work under pressure.
* Ability to self-reflect and demonstrate organisational value and behavioural standards.

Essential Criteria:

* Current Driver's License.
* Proof of working rights.
* Clear National Police Check.
* Pre-employment Medical Assessment.
* Cert IV or higher in Business Management, Public Sector Administration or similar coupled with significant experience in working in a similar environment.
