**Position purpose**:
Manage a range of Corporate Services projects, procurement and governance controls.
Coordinate the end-to-end delivery of allocated projects within the Property, Facilities and Corporate Services remit.
Increase the maturity of the procurement strategy in A&NZ; including the development and reporting of governance structures, cost savings and rationalisation plans, implementing regional policies and procedures locally and working closely with the regional procurement team on local and regional procurement initiatives.
The Corporate Services team provides transversal support services to CIB (Branch & Securities Services) and Asset Management covering the following perimeters across BNP Paribas offices in Australia and New Zealand:
- Property
- Facilities

- Corporate Services & Admin
- Financials
- Projects
- Governance
**Key responsibilities**
- **Project Management Co-ordination**:
- Responsible for the end-to-end implementation and delivery of allocated projects within the Corporate Services and Facilities team. This will include, but not limited to, drafting scope of works, prepare RFP/RFT documentation, tender analysis and recommendations, preparing contracts and project schedules. Previous experience with Facilities space planning, floor plans and tenders essential.
- Liaison with regional teams to ensure International Corporate Real Estate Service processes, procedures and guidelines are implemented.
- Managing project delivery team of external consultants and contractors
- Prepare and control project budgets and reporting on projects.
- **Procurement**:
- Oversee the procurement processes working closely with the regional and local teams (includes preparation of tenders, analysis, recommendations to management, contracts).
- Oversee the Vendor selection and appointment processes to ensure compliance with company requirements.
- Oversee supplier relationships ensuring SLA and KPI's are achieved.
- Development and reporting of governance structures, cost savings and rationalisation plans
- Review of supplier contracts and monitoring of program for contract renewals.
- Oversee ARIBA database is updated and maintained.
- **Financial Reporting**:
- Assist in preparing annual CAPEX, OPEX and Rental Budgets for the Territory
- Monitor CAPEX spend (budget versus actuals)
- Assist in responding and preparing Regional and Global requests for Financial information
- Attend to ad hoc requests for Financial information and reports.
- **Procedures and Policies**:
- Documentation of Department Procedures and regular reviews of existing procedures.
- Monitor and Review formal procedures produced by Head Office/APAC Region/Territory Compliance and others.
- Responsible for providing overview of procedures and provide training where applicable to the Corporate Services Team including preparation of quick reference guides.
- **Governance and Risk**:
- Oversee the quarterly Territory Safe Desk patrols (out of business hours) each year including preparation of reports for Management and Region.
- Oversee the annual physical stocktake for non I.T Fixed Assets, ensuring Fixed Assets Register is updated, liaising with Finance team as required.
- **Insurance**:
- Manage the Territory insurance requirements including annual renewals, claims
- Liaise with BNPP regional and global teams
- Liaise with external insurance brokers as required.
- **Back up team support**:
- Provide back up support to the team to cover Business As Usual work during staff leave
- Any other duties as directed by the Head of Department
- **General**:
This position will require out of business hours attendance (arranged in advance) to oversee the delivery of projects.
