About the Role

You\'ll work closely with the Managing Director to manage his day-to-day responsibilities and provide high-level administrative and operational support. Your role will be crucial in enabling him to focus on driving business growth and strategic priorities. From managing schedules and handling correspondence to maintaining records and handling invoicing, you\'ll play a key role in ensuring a smooth operation across our maintenance division.

This is a fantastic opportunity for someone with strong administrative skills and a keen eye for detail who enjoys working in a collaborative and fast-paced environment.

- Diary and Schedule Management: Organise and coordinate meetings, appointments, staff schedules and travel arrangements, ensuring optimal use of time.
- Communication and Correspondence: Act as the first point of contact, managing emails, answering phone calls, and other communications with professionalism and discretion.
- Employee Liaison: Serve as the point of contact for employees, addressing queries and ensuring smooth internal communication.
- Invoicing and Client Support: Assist in preparing, issuing, and managing client invoices, ensuring accuracy and timely processing; experience in bookkeeping is highly regarded.
- Project Assistance: Support with research, reporting, and project coordination as required.
- Meeting Preparation: Prepare agendas, take minutes, and follow up on action items to ensure progress and accountability.
- Office Management: Assist in overseeing office operations, liaising with internal teams and external stakeholders to maintain efficient workflows.
- Problem-Solving: Address and resolve issues proactively, ensuring the Managing Director can focus on high-level tasks.

What you\'ll need to succeed

- Proven experience in a high-level administrative or similar support role (3 - 5 years experience).
- Exceptional organisational and time-management skills, along with a strong proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent verbal and written communication abilities.
- Strong attention to detail.
- A self-starter who can work independently and anticipate team needs.
- Strong interpersonal skills and the ability to collaborate effectively with colleagues.
- Xero or Basic bookkeeping experience a plus!
