Job Description:
We’re searching for an outgoing, initiative-driven Administration person.
This role involves being organized, self-driven, sharp and, on the ball, managing technicians' schedules, taking sales calls, managing bookings, ordering stock, managing several email inboxes, social media messages, SMS bookings whilst maintaining a high level of client service.
General Purpose
To provide administrative and clerical support to ensure the efficient operation of the business and efficiency between admin and technicians, also ensuring that clients are made to feel a priority at all times.
Main Job Duties and Responsibilities:
answering and directing phone calls
taking and distributing messages
receiving, sorting and distributing incoming email/social media
updating and maintaining databases
controlling basic accounting functions such as checking invoices and making deposits
keeping office area neat and tidy
prepare correspondence and documents
allocate available resources to enable successful task performance
co-ordinate office staff activities to ensure maximum efficiency
evaluate and put together staff performances for supervisor
organize orientation and training of new staff members
ensure security, integrity and confidentiality of data
oversee adherence to office policies and procedures
monitor and review internal processes
prepare operational reports and schedules to ensure efficiency
co-ordinate schedules, appointments and bookings
monitor and maintain business supplies inventory
handle customer inquiries and complaints
manage internal staff relations including but not limited to performance reports and checks on work management
maintain a secure and secure working environment
