About the Position
The Workplace Services Manager, ANZ provides leadership and operational oversight for Workplace Services supporting BeOne Medicines' AUS office in Sydney. Based in Sydney, the role is accountable for ensuring a safe, efficient, well‐managed workplace environment that supports business operations and delivers a positive experience for employees and visitors.
Key Responsibilities
- Manage day‐to‐day office operations and administrative services, including supplies, equipment, furniture, access cards, business cards, name tags, employee records, office induction support and general employee enquiries.
- Supervise the outsourced Sales Administration support team and ensure service delivery aligns with agreed business needs and standards.
- Maintain and update the Australia WPS Connect page with accurate, current workplace information.
- Coordinate visitor support, logistics, hotel arrangements, office access and related services.
- Support property management activities in Australia, including coordination with external partners on office search or relocation.
- Coordinate employee safety checks and workplace communications during emergency or natural disaster events.
- Provide responsive support to the General Manager, employees and key stakeholders on workplace services matters.
- Partner with ANZ leadership, department heads and stakeholders to understand workplace needs and align WPS services with business priorities.
- Attend leadership and stakeholder meetings to provide WPS updates, capture actions and support follow‐through on workplace priorities.
- Establish and maintain appropriate workplace service channels or escalation pathways to ensure timely response to employee and business enquiries.
- Provide workplace services support to Commercial, R&D and other business functions for smooth day‐to‐day operations.
- Coordinate logistics for business visits, town halls, media interviews, conferences and other events, including venue arrangements, room setup, catering, attendee tracking, vendor coordination and on‐site support.
- Partner with HR to support employee lifecycle processes such as onboarding, off‐boarding, office induction, training logistics, organisation chart updates and other workplace‐related HR activities.
- Support IT‐related workplace coordination, including secure handling of returned IT equipment and administration of relevant Teams groups or channels.
- Manage vendor and building relationships, including onboarding, contract and price negotiations, service delivery monitoring and issue resolution.
- Manage PR/PO processing, invoice coordination with Accounts Payable, monthly office cost reporting and other financial administration in partnership with Finance.
- Ensure service delivery is managed within approved budgets, cost frameworks and procurement requirements.
- Identify opportunities to improve efficiency, standardise processes and strengthen service quality across workplace services.
- Partner with EHS to provide local workplace support and help ensure site practices align with applicable Global EHS standards and local requirements.
- Support workplace safety coordination, emergency response communication and employee wellbeing checks during natural disasters or other incidents.
Qualifications
- Tertiary qualification in facilities management, business administration, workplace services or a related discipline (or equivalent experience).
- 10+ years of relevant experience in workplace services, facilities management or office operations, preferably in a complex, multi‐site or regional environment.
- Experience in the pharmaceutical, biotechnology, healthcare or similarly regulated industry highly regarded.
- Strong customer‐service, communication, organisational and prioritisation skills.
- Demonstrated leadership capability, including the ability to guide teams, manage vendors and drive initiatives to completion.
- Sound judgement and problem‐solving capability, with the ability to interpret and apply relevant policies, procedures and workplace standards.
- Collaborative, self‐directed and service‐oriented, with a commitment to quality, continuous improvement and a safe, respectful workplace.
- Computer skills: strong proficiency in Microsoft Office (PowerPoint, Word, Excel), Microsoft Teams and Outlook, and working knowledge of Microsoft Copilot.
- Competency in a major language such as Mandarin, Japanese or Korean is an advantage.
- Travel only when required.
