About the role
The Support Officer - Group Managers will provide dedicated administrative and coordination support to two Group Managers within their respective service portfolio's organization. The role is central to ensuring each manager's daily activities, communication flow and operational priorities are well supported, requiring strong organisation, responsiveness and a collaborative approach.
The role will include the provision of tasks of a confidential nature and involves juggling multiple priorities at a time while maintaining a high level of communication with the relevant stakeholders. The successful candidate will be comfortable taking initiative, seeking clarity where needed and confidently managing evolving priorities in a fast paced environment.
This role is a part time position working 4 days per week.
* Ensure the efficient management of the Group Manager's emails, appointments, diaries, travel and other arrangements as necessary.
* Provide management support as requested including, but not limited to preparation, copying and presentation of letters, memos, reports, agendas, minutes, newsletters, etc.
* Monitor and ensure all incoming correspondence/documentation is received and logged as required and outgoing correspondence/documentation is appropriately formatted, signed off and distributed in an accurate and timely manner.
* Ensure enquiries are addressed efficiently and effectively providing accurate information within the scope of the position or co‐ordinating messages and referral to relevant staff.
* Update and maintain relevant Service Delivery stream's SharePoint pages within Connect (intranet) and upload documents to SharePoint as required.
* Develop, maintain and evaluate appropriate and reliable administrative systems for the timely and accurate management of hard copy and electronic documents and information within Microsoft Teams.
* Provide advice and information to the organisation in relation to specific areas of responsibility.
* Provide professional first point of contact/reception service to internal and external customers, either directly or over the telephone.
About you
* Demonstrated ability to establish and maintain effective working relationships within and across busy multidisciplinary teams and with external stakeholders.
* Proficient time management skills and ability to prioritise workloads.
* Adaptive and accepting of new ideas, and a willingness to approach new challenges and adjust plans to meet new priorities.
* Demonstrated effective interpersonal and written communication skills with attention to detail.
* Demonstrated experience in general office administration including sound knowledge and use of computer software packages, e.g. Microsoft Office suite and database applications, Procura, arranging meetings, appointments and seminars/workshops.
